Point-of-Sale notes

Maintain Notes Form

All fields and options on the form are explained below.

Menu Bar and Toolbar:

Menu bar Toolbar Action
File > Close Exit Closes the Maintain notes form.
Help > Content help Help2 Displays this help topic in a web browser.

Grid:

The grid displays all lines on the WIP. Notes can be added to each line on the WIP as long as the line has not been invoiced.

Line: Displays the WIP line number.

T: Displays the type of the item.

Product: Displays the product code.

Description: Displays the description of the product.

Quantity: Displays the issue quantity in either units (for parts) or hours (for labour) to be invoiced, credited (negative quantity), backordered, etc.

P: Displays the current status of the line to determine the progress of the line from the point when it is raised through to completion.

I: Displays the invoice status of the line.

Notes: Select to open the Edit WIP Notes form. An icon Notes will be displayed in the column if notes exists for the WIP line.

Print: Select to print the notes on the invoice. A tick will be displayed if notes is to be printed on the invoice.

Note: If the WIP line has been invoiced the print status cannot be changed. But if the WIP line has been credited, then it can be selected to be printed on the invoice again.

Note: For printing the notes on the invoice, Menu style printing is required.

Edit WIP Notes Form

This form enables you to add, modify, delete or view notes of the selected WIP line. All options are explained below.

Menu Bar and Toolbar:

File > Close Exit Select to exit the form.
File > Undo Undo2 Select to undo the last changes made to the notes.
File > Save and return to WIP Check Select to save the changes made to the notes and return to the WIP. This option is avaialable when the Notes was accessed from the Notes tab in the WIP header.
File > Save Save Select to save the changes made to the notes.
File > Delete Cross Select to delete the notes from the WIP line.

It is possible to copy and paste notes from/to the clipboard.

Field:

Notes: Enter the WIP notes.

Note: If the WIP line has been invoiced the notes cannot be edited. But if WIP line has been credited, then the notes are editable again.

Add or edit notes from the main toolbar

To add, edit or delete notes from the main toolbar:

  1. Select Tools > Notes menu option (or the Notes Notes menu icon).

  2. Click the Notes to WIP line(s) button.

  3. Left-click in the Notes column on the corresponding WIP line.

  4. The Edit WIP Notes form will be displayed where you can add, modify, delete or view the notes.

Edit notes from the WIP header

To edit or delete notes from the WIP header:

  1. On the Notes tab on the WIP header, in a small grid, the line number and an icon will be displayed for each WIP line that has notes added.

  2. Double-click the icon next to the corresponding WIP line number.

  3. The Edit WIP Notes form will be displayed where you can add, modify, delete or view the notes.

Print note(s) on invoice

To print the notes on the invoice:

  1. Select Tools > Notes menu option (or the Notes Notes menu icon).

  2. Click the Notes to WIP line(s) button.

  3. Left-click in the Print column on the corresponding WIP line.

  4. A tick will be displayed if the note(s) is to be printed on the invoice.

Push Product Notes created in VSB to Point-of-Sale

To push Product Notes created in VSB to Point-of-Sale:

  1. Open the VSB record in Vehicle administration for which a line has to be pushed to POS.

  2. Select the Specification tab.

  3. Right-click on the line to be pushed to POS.

  4. Select quick menu option Product Notes.

  5. Type the notes required for the line.

  6. Click the OK button to close the form.

  7. Save the VSB record and amend the VSB record again.

  8. Select the Specification tab.

  9. Right-click again on the line to be pushed to POS.

  10. Select quick menu option Push to POS.

  11. The Push to POS form is displayed.

  12. Complete the POS Company, Department, Date required and Time required fields.

  13. Select the NOTES - Product notes option in the dropdown box.

  14. Click the Push button.

  15. The spec line has been pushed to POS.

  16. Go to Point-of-Sale and follow normal procedure to load Vehicles awaiting preparation.
