Import EKS information

To Import the EKS file, you must:

• Select from the EKS Interface form the File menu and make sure that the mode is set on Import.
• Select from EKS Import Interface form the correct Marketing company from the dropdown.
• Enter the correct location and name of the import file in the Import file field.
• Select the Import button.

  After the file is imported correctly, the message "Import done" is shown on the form and the Process information area shows the contents of the import file.

Checks done during import

Before records in the Marketing and the VSB module are created or update with the information in the EKS Import file, some checks are done. All checks are explained below.

Customer interface

• A new record is not created if the EKS customer number is known in the Marketing system. In this case a message like "Unable to create '000125', Company record already found (286)".
• A new record is created if a duplicate target record is found. In this case a warning is shown. A record will be identified as a duplicate when the Surname, Firstname, Address line 1 and the postcode are the same.
• A warning will be shown if a similar target is found, in this case the marketing record will be created. A record is marked as simular when one of the checks is positive:
  • The telephone number is known.
  • The postcode is known.
  • The First name, Surname and Address line 1 are known on one marketing record.
• In this case a warming is given in the Process information area.

Vehicle interface

The link between the Marketing- and VSB record will be established when the VSB company and VSB record number are delivered in the EKS file. When the information is missing the program will check on all the installed VSB companies the VSB record with the commission number or registration number from the EKS file.

In case the Marketing record contains a different VSB company and/or VSB record number then the one that is supplied in EKS file, a warning will be given and the VSB record will not be updated.

Note: Autoline will create a marketing record when within VSB a chassis number is entered. Because of this reason is it not necessary to search the VSB system with the chassis number.

The Log file (kcc only)

After the EKS file is imported, the Process Information area shows what changes have been made or errors that occurred during the import. These changes and errors done by the EKS Interface are stored in a Log file. The log file stores all the changes done in the current month with an import and can be viewed via the View log option in the File menu.

The print option

The print option gives the possibility to print details of the last import. Three print are already created, these are an Error list, Warning list and Amendments list.

The print option is located in the File menu.
