This option is used to create, amend, delete and display accrual records. Please refer to The Structure of Accruals for detailed descriptions of each field in an accruals record.
Click the Postings button to bring the Postings form into view. If you are in amend or create mode then you can add or amend the postings displayed here. Please refer to Selecting the Option.
The Add button can be used in both amend and create mode to create new postings or double left click on any of the fields to edit an existing posting. Press Save and View Header to return to the header screen. Any changes to postings are only saved when you click the Save button on the Header form.
On selecting the Add or Modify Accruals option from the main menu, the main window is displayed. Click your required button to carry out the activity you require. Apart from clicking the Exit button which returns you to the main accruals menu, any other choice requires an accrual number to reference the accrual record you wish to create, amend, display or delete. Enter the appropriate accrual number, and key RETURN The system then proceeds as described below for each option on the main menu.
Tip: If you are amending,
displaying or deleting an accrual and are unsure of its accrual
number click the button to search through all available accruals.
Exit (Cancel) This button has a dual use. In display mode it is an Exit button. In any other mode (amend, create or delete) it becomes a Cancel button.
Click the Exit button to return to the main Accruals menu.
Click the Cancel button to move you from the mode you were in into the display mode.
Create: To create a record click the Create button. Then type in the accrual reference number that you want the new record to be referred to as.
If the accrual number you have keyed in already exists, the message 'Record already exists' is displayed. If the accrual number is in the wrong format (see system parameters) then the message 'Use an input image of ######' is displayed . This input image is the actual input image as defined in your system parameters. In either case, re-enter a correct accrual number to proceed, or click the Cancel button to escape from create mode.
Having entered a valid new accrual number, the header details can now be entered. Complete the form as required. Some fields will have been 'defaulted in' (See accrual defaults).
Postings: Click the Postings button to bring the postings form into view.
Create/Save: Click the Create/Save button to update the accruals file with the new accrual record.
Note: Do not take this action until after you have completed the postings form.
Add posting: Click the Add posting button to create new postings in both create and amend mode.
View Header: On completing the postings entries, click the View Header button to return to the header form. This is the only available exit from the postings form.
Note: On return to the header form the value of the control entry is automatically computed and displayed. This effectively gives a check total of the total value of the postings entered, albeit with the opposite 'sign'.
