Rejecting an Estimate

If the insurer declines the estimate at the last minute, or the customer decides to have the work done elsewhere, you need to update the Autoline system and mark the estimate as rejected.

This has several purposes - it stops contact chains that have been started by Bodyshop Estimating, and records the reason why the estimate was rejected. Analysis of these reasons can provide information that allows work to be secured in the future.

To reject an estimate:

  1. From the Rev.8 Master Menu, select the Bodyshop estimating interface option and Company required.

    The BODYSHOP ESTIMATING main menu is displayed.

  2. Select the Estimate maintenance option.

    The Estimate maintenance form, Summary tab is displayed.

  3. Click the Ellipsis button [...] in the Number field.

    The Search for Estimate form is displayed.

  4. Select a Method via radio button or enter search criteria and click Search.

    The list of current estimates is displayed according to the criteria you have entered.

  5. From the list, select the estimate you want to reject.

    The details of the estimate are displayed in the Summary tab fields.

  6. To reject the estimate press the Reject Cross icon on the icon tool bar.

    Note: Once an estimate has been rejected it cannot be amended although the information can be viewed.

  7. Complete the reason for rejecting form entering a rejection code from drop down list with explanation text and Click on OK button.

After rejecting an estimate you are asked for a rejection reason code, and a short explanation of why. Both of these elements are recorded against the estimate for later analysis. Any contact chains started after printing an estimate, or linking customers to the estimate, are stopped by completing the followed-up date field on the CRM contact.

Note: Bodyshop Estimating contacts have fixed-format text, and BE Auto Contact on the third line of the comments. If the information on the contact is changed, Bodyshop Estimating may not be able to stop a contact chain.
