Introduction

This section explains the contents and aims of this on-line help. It will also outline what the Daily Rentals system module contains.

The Daily Rental system allows a fleet of rental vehicles to be controlled, providing cost analysis and income and utilization statistics for each vehicle. Further to this, a comprehensive booking and reservation system is available, which presents the availability of all vehicles on a day by day basis in a graphical format, broken down by vehicle group. From this screen it is possible to enter bookings, open and close agreements, start and finish rentals, and finally, print invoices.

The system also offers a central reservation facility for multi-location operations. The regional fleets will be in individual Daily Rentals companies, central reservations will offer a compound view of the total fleet - by group, and allow a booking to be made in the correct company from this central reservations position.

You can now use the reservations screen to raise external orders to outside suppliers for the provision of extra vehicles to supplement the fleet during busy periods. This option can also be used to raise sundry orders for other goods or services if required. It can be optionally linked to the Purchase Management module for verification of incoming invoices in Tandem with the Purchase Ledger invoice register.

The reservations screen may be completely mouse driven. You can control many functions with the mouse such as graphs on vehicle utilization by individual vehicle, group or fleet, as well as graphical presentation of the number of bookings made for each group for a 14 day period, or the whole fleet for a given day. The mouse can also be used to navigate around the screen or initiate any of the built in screen functions.

Daily Rentals makes use of the Marketing system files to store details of companies, drivers and vehicles. Later in this manual users will see how to store extra details in the marketing system which relate directly to the Daily Rental application.

You are also able to tailor parts of system to meet their own requirements. There is no reasonable limit to the amount of Hire groups, Tariff types, Charges types, Payment methods, Operating expenses or Hire Locations which can be created. Formats for the invoice and agreement prints can also be tailored to requirements by using the Kerridge Format stationery option.

The Kerridge Administrator is fully integrated with the Daily Rental software allowing you to use diary and electronic mail functions from within the reservations screens.

A wide range of reports can be produced by using the Kerridge Report Generator.

The system utilities on-line help will cover getting started and explain how to move around the system. This on-line help should be read thoroughly in order to get the best from the system.

You will notice that many references are made to the Marketing Manuals. These separate on-line help topics will detail the use of each option found on the Marketing system and how to use it. The Marketing on-line help is required reading.
