Rental Details 2 (More Details Tab)

The Vehicle Rentals module functionality is vastly increased when supported by CRM defaults held against the company, driver and vehicle records. This additional functionality is provided by attaching an extra file to each of the basic CRM company, customer and vehicle records.

Tip: Enable codc1 for the Vehicle details form (although depending upon what system is being used these forms may not necessarily have to be enabled).

To access CRM Vehicle Rental - Rental Details 2 (More Details Tab) :

  1. From the Master Menu, select the Vehicle rentals option and Company required.

    The Vehicle Rentals menu is displayed.

  2. Select the Reservations option.

    The Reservations and Availability form is displayed.

  3. Select the New icon.

    The Open Agreement form is displayed.

  4. Locate the required agreement using the appropriate selection criteria and select the Open command button.

    The Rental Agreement form is displayed.

  5. Select the crm.gif icon.

  6. Select the Company Options menu.

  7. Select the Edit icon

  8. Select the Company menu option.

  9. Select the Rental Details 2 option.

  10. Select the More Details Tab.

The company defaults are numerous and allow for powerful functionality and data integrity.

Supplier details:

Supplier Rates Table: Works like the Customer rates/charges maintenance table in that the table is created for the Supplier rates (re: brokered vehicles) and given a name. This name is then allocated to this field.

Active Supplier: A checkbox which, if ticked, denotes that supplier is an active supplier of brokered external vehicles. Only suppliers that have this checkbox ticked are displayed in the Allocate Supplier form.

PL Account: The Purchase Ledger account associated with this supplier CRM record. The [...] may be used to perform a Purchase Ledger search for the appropriate account.

Supplier Notes: A free format area for holding details relating to the supplier.

Company Notes:

Company Notes: If the Use Company Notes checkbox is ticled within the General 5 Tab of System Parameters then the enhanced notes functionality is enabled within the Rental Company form. This notes area allows RTF (Rich Text Format) text. Any notes held are displayed upon entry of the associated Sales Ledger account code within the agreement and cannot be modified from within the agreement.

More Details:

Maximum Rental Days: Enables entry of a maximum number of days that a customer can hire a vehicle for in Vehicle Rentals. Where a Booking/Quote is created and the user either tabs out of the Duration field or tabs out of the To date field and the maximum rental days set for this customer is exceeded then the user is warned that the maximum number of days has been exceeded. The system displays the Maximum Rental Overide form to enter free text for authorisation. This text field is written to the agreement file and is editable The Reason for Max Rental Override form is held in the Tools menu within the agreement. If any user edits this field then an Audit reason pop-up form is displayed and the edit is written to the audit file.

Default Hire Group: Selection of the Drop-down button allows a default hire group to be selected which is then automatically defaulted-in to new agreements created for the associated sales ledger account. A check is made when adding a default group that a tariff rate exists for the group/tariff combination and the user is warned if this is not a valid combination. If the default hire group is changed within the agreement then a pop-up authorisation form is displayed requiring entry of a reason for changing the default.
