Selection of the
icon from the Agreement toolbar (or Edit Finance from the Tools
menu) opens the Edit Finance form from which product details and values may be edited.
What do you want to do?
To access the Edit Finance (Total Edit) function:
From the Master Menu, select the Fleet Kompact option and Company required.
The Kestrel Kompact Menu is displayed.
Select the Contract Management option.
The Contract Management form is displayed.
Select the icon.
The Contract Search form is displayed.
Enter the appropriate information to locate the required agreement.
Select the icon.
Select the
shortcut from the menu on the left of the form.
The contract management Agreement Tab is displayed.
Select the icon.
The Edit Finance form is displayed.
Before editing make a note of the Summary Balance value (usually zero).
To carry out a Total Edit double-left-click (in the grey description column) on any of the Rental or Budget rows.
The Edit Posting Values form is displayed.
Within the Edit Action group box edit the value of the selected rental or budget by entering a New Value or edit the value with an Adjust by percentage change or Adjust by value change.
Use the Options group box to apply the change in the appropriate way by taking one or all of the available options. Within the Total Edit option the Apply roundings to first period of change checkbox is logically automatically defaulted as is the Synchronise rental and income adjustments checkbox
.The system enables the Apply Difference to field so that the difference can be applied to a selected product split.
If the edited item is one of the product splits then the Synchronise Budgets checkbox is enabled so that one or more of the budgets in the grid may be selected (with a single-left-click) for synchronising to the edit value.
Once all edits have been made select the
icon.
Note: The system may or may not allow the amendment to take place if the Summary Balance is not equal to zero; this is dependent upon whether the Agreement Must Balance checkbox is ticked within the selected Product table.

Select the icon.

To add a new (unused) budget line select the
icon.
The Add Budget form is displayed.
Within the Budget field use the
to select a new
budget.
Enter a new total Budget value.
Specify a From period (this must be an unposted period).
Specify a To Period.
Once all edits have been made select the
icon.

This form is split into six parts that are as follows:
In addition to displaying the form name the Title Bar provides a number of other useful identification criteria and buttons.

Accepts and confirms the new edited values. The system may or may not allow the amendment to take place if the Summary Balance is not equal to zero; this is dependent upon whether the Agreement Must Balance checkbox is ticked within the selected Product table. If ticked, this option performs a validation procedure: the sum of the Total Budgets and Total Others values must equate to the Total Rentals values and therefore balance the Balance field to zero. If the flag is ticked and the contract does not balance then an error message is displayed: Contract does not balance and the system returns to the form so that the values may be modified so that they do balance. |

Exits the current form and returns to the agreement form. If the agreement has not been saved then the user is prompted to confirm that they wish to save and exit the finance edits or cancel. |

The Edit Finance Dialogue Box contains the following fields:
Period: The period over which the lease agreement is taken. This information is obtained during the manual input of the agreement or from the converted quotation.
Frequency: This field determines the frequency of invoiced regular payments to be made within the agreement. The
button accesses a drop-down list displaying currently available selections.
Profile: The short coded form of the rental profile e.g. 3/33/2 (M) which is broken down as follows:
Initial: Displays the number of initial rentals for the proposed agreement.
Regular: Displays the number of regular periodic rentals for the proposed agreement.
Start Month: Displays the month (within the contract term) in which payments are due to commence.
Beneath these fields are two tabs which contain the following information:
Agreement Tab
Period: The period in which a posting is to be made. 0 (zero) denotes the initial payment and the periods starting with 1 relate to the Regular rentals and Budgets.
Date: The Month and Year the postings are to take place.
Odometer: The last recorded odometer reading at this period of the contract.
Payment Profile: The required payment profile for the given Period e.g. 3/33/2 (M).
As and when the payments are posted via the Postings routine the line(s) posted are marked with a green tick.
1st Product Split (Finance): Displays the description and values for the first product split. (Also displays the VAT method - e.g. Standard - in parentheses).
1st Product Split (Finance) - Description: Displays the first product split description (typically Finance).
1st Product Split (Finance) - Total Value: Displays the first product split total rental value.
1st Product Split (Finance) - Regular Value: The system then displays the first product split regular rental value for each period within the agreement.
2nd Product Split (Service): Displays the description and values for the second product split. (Also displays the VAT method - e.g. Standard - in parentheses).
2nd Product Split (Service) - Description: Displays the second product split description (typically Service)
2nd Product Split (Service) - Total Value: Displays the second product split total rental value.
2nd Product Split (Service) - Regular Value: The system then displays the second product split regular rental value for each period within the agreement.
Note: This grid can hold up to six lines of product splits e.g. Insurance, etc. Lines are only displayed if the product split is applicable. The product split description, total rental and period rental values are displayed for each line.
Total Rentals: Displays the total values for the product. This line is displayed in blue text.
Total: Displays the total rental value (i.e. the sum of all the product splits total values).
Regular Total: Displays the total regular rental value (i.e. the sum of all the product splits regular rental values).
Budgets: Displays the description and values for each budget,
Budget - Description: Displays the first budget description (e.g. Maintenance)
Budget - Total Value: Displays the first budget total value.
Budget - Regular Value: The system then displays the first budget regular value for each period within the agreement.
Note: This grid can hold all applicable budgets e.g. Motor Club, Additional RFL, etc, etc. Lines are only displayed if the budget is applicable. The budget description, total and period values are displayed for each line.
The scroll bar to the right of the form enables the viewing of any budgets that are not currently displayed within the form.
Finance Tab
Period: The period in which a finance posting is to be made. 0 (zero) denotes the initial payment and the periods starting with 1 relate to the Regular rentals and Budgets.
Date: The Month and Year the finance postings are to take place.
Repayment Profile: The required finance Repayment profile for the given Period e.g. 3/33/2 (M).
As and when the Repayments are posted via the Postings routine the line(s) posted are marked with a green tick.
Repayment: The required finance Repayment for the given Period. The first column display the total repayment value whilst each subsequent column displays the appropriate regular value for the period.
Summary
Rentals: The total value of rental payments over the period of the agreement.
Income: The total value of Other budgets (e.g. Interest, Depreciation, Overheads, Profit, etc).
Balance: A value denoting whether the agreement balances or not.
Note: The system may or may not allow the amendment to take place if this field is not equal to zero; this is dependent upon whether the Agreement Must Balance checkbox is ticked within the selected Product table. If ticked, this option performs a validation procedure: the Rentals and Income values must balance this field to zero.
Total Income: The total value of Other (new) budgets (e.g. Interest, Depreciation, Overheads, Profit, etc).
Total Budgets: The total value of all budgets.
Balance: A value denoting whether the agreement balances or not.
