CUSTOMER REVIEW

Overview

Once a customer has been selected from within the primary Quotations form via the Customer WordSearch (...) facility (which searches on both target and company), the Customer Review form is used to view and amend customer details.

The form is split into four parts, which are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Menu Bar

The contents of the Customer Review menu bar are as follows:

If data has been amended then selecting this option displays a pop-up box containing the message:

This will LOSE all information entered so far. Are you sure?

Selecting Yes effects a return to the primary Quotation form without saving amendments. Selecting No or Cancel leaves the user in the current form.

Exits the Customer Review and returns to the primary Quotations form saving any data amendments.

Once a customer has been selected this option gives access to CaseFile which enables the contact history for this customer to be viewed.

Provides online access to a context sensitive Help form.

Toolbar

The contents of the full toolbar are as follows:

This icon is selected in order to access the E-Mail form which provides electronic mail facilities.

Provides online context sensitive help information to the user

Customer Review Dialogue Box

The Customer Review dialogue box displays the following fields for the selected target/company combination:

Contains the target's tile e.g. Mr, Mrs

Contains the target's initials e.g. FL. It is now convention not to use full stops or spaces.

Contains the target's first name if known.

Contains the target's surname

Displays the full selected target name including title, initials and surname.

Beneath the Target name there are two addresses. To the left of the form Company address information is displayed. To the right of the form Target address information is displayed.

Company Address Data

Displays the full marketing company name.

Displays the full marketing company address. There are five lines of address information.

Located beneath the address box is the Postcode field. By clicking on the ellipsis (...) button to the right of the postcode field the system opens up a window giving access to the Post Office Address Lookup File, should the record need to be edited.

A prompt is displayed for input of a postcode. Input in this window is not case sensitive (the characters input are automatically converted to uppercase) and does not require any particular spacing between the two elements of the postcode. For example, to find a postcode SN10 4QL the operator can simply enter sn104ql.

Once the post code has been input, the system opens a second window showing (up to) the first ten street numbers or house names covered by that post code, and prompting for the selection of a building from those available. The scroll-bar or right-arrow key is used to move to the higher street numbers.

Assuming that a valid street number or house name is displayed, and that it is selected by way of the OK button, the system displays the complete address for that record in the original window.

At the bottom of the form, the user is offered the opportunity to either continue with that record by selecting the OK button, or to Cancel (returning the Customer Review form for a possible alternative postcode selection). Assuming that the OK option is taken, the system proceeds, having displayed a details form with the address and post code already filled in on the second, third, fourth, fifth, sixth and post code lines of the address area.

Note: The postal town is always shown in upper case. This is not an error but the convention recommended by the Post Office.

The system prompts whether to use the first line of the address as the company name. If it is the correct company name select Yes. However, as the postcode address file does not always include company names, the first line may simply be the road name. In this case, select No and enter the correct company name on return to the main Customer Review form.

Contains the main company telephone number. The STD code should always be used e.g. 01635 523456;dashes between numbers should not be used.

Contains an alternative work telephone number, utilising the same format as above.

Contains the appropriate fax number, utilising the same format as above. It is extremely important that this is entered, as quotations can now be auto-faxed to the customer on completion.

An additional field that may be used for any other applicable number, utilising the same format as above.

Target Address Data

If this checkbox is ticked then the Target Address information is used within the quotation.

Displays the full marketing target address. There are five lines of address information.

Located beneath the target address box is the Postcode field. By clicking on the ellipsis (...) button to the right of the postcode field the system opens up a window giving access to the Post Office Address Lookup File, should the record need to be edited (See above for details).

Contains the target's home telephone number. The STD code should always be used e.g. 01635 523456;dashes between numbers should not be used.

Contains the target's work telephone number, utilising the same format as above. The second field may be utilised for an extension number.

Contains the target's fax number, utilising the same format as above. It is extremely important that this is entered, as quotations can now be auto-faxed to the customer on completion.

Contains the mobile telephone number if known, utilising the same format as above.

Contains the full Email address, including punctuation such as sah@kerridge.com

Any data, which has been amended within the Customer Review form, is transferred back to the core Marketing module.
