QUICK TERMINATIONS

Overview

The Quick Terminations screen is accessed by way of Terminations / Quotations & Extensions / Quick Terminations. This screen is designed to speed up the process of Normal Terminations. In essence, it enables the termination of a contract without having to access as many screens. The system uses the defaults for Normal Termination either set within the Customer Defaults or as defined by the Lease Type of the contract. The system assumes that all the terminations carried out by this process are Normal Terminations and does not therefore allow the editing of many typical termination items. It is important to enter the exact termination date and final mileage as all calculations dealing with excess/under mileage and extra days to be charge are controlled by these values.

This Quick Terminations screen is split into five parts that are as follows:

Title Bar

In addition to displaying the screen name the Title Bar provides a number of useful buttons.

Menu Bar

The content of the Quick Terminations menu bar is dependent upon the particular process that is being accessed. The full toolbar contents, however, is as follows:

New

Clears the screen and located the cursor in the Registration field enabling a new vehicle to be selected.

Save

Saves any amendments made to the current quick termination record.

Exit

Exits the current record and returns to the Quotations and Extensions Menu.

Provides online access to a context sensitive Help screen.

Toolbar

As with the menu bar, the content of the Quick Terminations toolbar is dependent upon the particular process that is being accessed. The full toolbar contents, however, are as follows:

Quick Terminations Dialogue Box

The top quarter of the screen displays relatively static information relating to the vehicle and selected original agreement details. The following fields are displayed:

The registration number of the vehicle. The ellipsis button (...) immediately to the right of the Registration No field is used to initiate the Fleet Global Search (Alternatively, the icon may be used). This screen is utilised to locate, select and open a particular vehicle record by way of a number of alternative selection criteria methods.

The master agreement number (produced at the Convert Quote stage of the original contract e.g. 100045 ) for which the quick termination is to be carried out.

The current status of the original agreement e.g. Live.

Consists of two fields. The first field contains the customer adress group code. The second field contains the address group description of the customer currently in possession of the vehicle.

The lease type is a two digit alphanumeric code (e.g. CM) that is created within Fleet System Management / Miscellaneous Options / Lease Types . The lease type is initially selected against the vehicle quotation within the Convert Quote menu option within Fleet Quotations.

The second field contains the full lease type description associated with the lease type code e.g. Contract Hire With Maintenance

This is a legacy of the Rev 7 system and although a Definition needs to be selected within Fleet system Management it is not used as this is now controlled within the Fleet Quotations product. The lease definition not have to be selected within the quotation itself although Contract Upload prompts for it.

Consists of two fields. The first field contains the lease definition code e.g. A that is created within Fleet System Management / Miscellaneous Options / Posting Controls / Lease Definitions . The lease type is initially selected against the vehicle quotation within the Convert Quote menu option within Fleet Quotations.

The second field contains the full lease definition description associated with the lease type code e.g. Contract Hire With Maintenance.

The period of hire e.g. 36 (months) for the selected contract. This values comes from the original quotation.

The original agreed contract distance.

The remainder of the Quick Terminations Dialogue Box displays a series of Tabs that contain the relevant information relating to specific termination details. The four Tabs are as follows:

Selection of the Charges Tab enables the selection or review of charges to be added to the termination for items such as Refurbishment, Auction Fees or Administration charges, etc, to be recharged on to the customer.

Status Bar

Displays textual prompts and status throughout the life of the quick termination.
