MANUAL TERMINATIONS

Overview

The Manual Terminations screen is accessed by way of Terminations / Quotations & Extensions / Manual Quotations. This option is used for entering all of the required termination details required to carry out a termination quotation via the various options available and ultimately proceeding to the final termination of an agreement.

This Manual Terminations screen is split into five parts that are as follows:

Title Bar

In addition to displaying the screen name the Title Bar provides a number of useful buttons.

Menu Bar

The content of the Manual Terminations menu bar is dependent upon the particular process that is being accessed. The full menu bar contents, however, are as follows:

New

Clears the screen enabling a new vehicle to be selected.

Open

Displays the Fleet Global Search screen that enables a vehicle to be found by entering search selection criteria.

This menu option provides access to the following options:

Company

Accesses the Marketing record for the displayed customer. Upon entry to the Marketing record the Company Tab is selected. However, the Target Tab and Vehicle Tab may also be viewed or edited.

Driver

Accesses the Marketing record for the displayed target. Upon entry to the Marketing record the Driver Tab is selected. However, the Company Tab and Vehicle Tab may also be viewed or edited.

Vehicle

Accesses the Marketing record for the displayed vehicle variant. Upon entry to the Marketing record the Vehicle Tab is selected. However, the Company Tab and Target Tab may also be viewed or edited.

This menu option displays a Terminations sub-menu option which in turn leads to a selection from the following:

Quick Mail

A pre-defined email relevant to the specific module area from which it is accessed. The required email format for inclusion in this menu list is defined within the Quick Mail Format field located in the Reports Tab within Maintenance Control / System Maintenance / System Parameters.

Reports

Displays a list of user-defined reports applicable to this process. Once written within RepGen an ellipsis button may be used to located and select these reports for inclusion within this menu list within the Reports Tab within Maintenance Control / System Maintenance / System Parameters.

This menu option displays a sub-menu option with a selection from the following options:

Administrator

Accesses the ADP Administrator mail and diary functions.

CRM

Exits to the CRM module (with the focus on the Target record.

Task Manager

Displays the main Task Manager form to enable a new task to be created or existing tasks to be edited.

Provides online access to a context sensitive Help screen.

Toolbar

As with the menu bar, the content of the Manual Terminations toolbar is dependent upon the particular process that is being accessed. The full toolbar contents, however, are as follows:

Exits the Manual Terminations screen and returns to the previous menu or screen.

Clears the screen enabling a new vehicle to be selected.

Displays the Fleet Global Search screen that enables a vehicle to be found by entering search selection criteria.

Saves the Manual Termination quotation details.

Deletes the current termination record. A sub-form is displayed with the following prompts:

Enables work within the Manual Terminations screen to be continued without deleting the record.

Deletes the current record.

The appropriate command button OK or Cancel is then selected.

Accesses the Marketing record for the displayed customer. Upon entry to the Marketing record the Company Tab is selected. However, the Target Tab and Vehicle Tab may also be viewed or edited.

Accesses the Marketing record for the displayed target. Upon entry to the Marketing record the Driver Tab is selected. However, the Company Tab and Vehicle Tab may also be viewed or edited.

Accesses the Marketing record for the displayed vehicle variant. Upon entry to the Marketing record the Vehicle Tab is selected. However, the Company Taband Target Tab may also be viewed or edited.

Displays the Fleet Global Review Screen.

Displays the Administrator Screen which displays the following menu options:

Administrator

Accesses the ADP Administrator mail and diary functions.

Today's Contacts

Displays the contacts to be followed up for the logged-in user for today.

Quick Reports

Displays a list of user-defined reports applicable to this process. Once written within RepGen an ellipsis button may be used to located and select these reports for inclusion within this menu list within the Reports Tab within Terminations / System Parameters.

Quick Mail

A pre-defined email relevant to the specific module area from which it is accessed. The required email format for inclusion in this menu list is defined within the Quick Mail Format field located in the Reports Tab within Terminations / System Parameters.

Provides online access to a context sensitive Help screen.

Manual Terminations Dialogue Box

The top quarter of the screen displays relatively static information relating to the vehicle and selected termination basis. The following fields are displayed:

The registration number of the vehicle. The ellipsis button (...) immediately to the right of the Registration No field is used to initiate the Fleet Global Search (Alternatively, the open.gif icon may be used). This screen is used to locate, select and open a particular vehicle record by way of a number of alternative selection criteria methods.

The master agreement number (produced at the Convert Quote stage of the contract for example, 100045 ) for which the termination quotation is to be created.

Note: There is now a bespoke (FLUSER) flag on some Kestrel packs so that if nothing is posted or everything is reversed-out in fleet the contract can be terminated on the same day as the start day and no further postings are raised. Previously, the contract could only be terminated after the start date.

A system generated number for the quotation raised against this contract. If, for example, there are five quotations for the current contract awaiting a customer response, then the system generates sequence numbers from 1 to 5 in the sequence they are created.

The type of termination selected for example, Normal, Early, Theft or Write-off.

The code used to calculate the values of the quotation.

The period in which the contract terminates if termination is carried out.

The remainder of the Manual Terminations Dialogue Box displays a series of Tabs that contain the relevant information relating to specific termination details. The three Tabs are as follows:

Selection of the Edit Functions Tab enables the review of all the calculations and charges data (that is entered by way of the various command buttons) within the Manual Terminations process.

Selection of the Other Charges Tab enables the selection or review of charges to be added to the termination for items such as Refurbishment, Auction Fees or Administration charges, etc, to be recharged on to the customer.

Selection of the Review Postings Tab enables the review of postings that the Terminations system is to make at the end of the contract that is currently being viewed. These postings cannot be edited.

Command Buttons

A number of command buttons are available to the right of this screen in the Edit Functions area. Some buttons are context sensitive and are dimmed and only become available dependent upon the particular process that is being accessed. The full list of command buttons is as follows:

Accesses the Termination Quote form which is used to define the basic elements of a Termination quotation such as the expected termination date and calculation basis. If these details have been correctly input then they may be amended here.

Note: Any other alterations that may have been made to the quotation are Lost if information is edited within this form.

This command button is enabled when a Termination Type of T Theft/ Write-off Termination is selected.

selection of this command button displays the primary Accident Management form so that accident details may be recorded and progressed.

Accesses the Sundry Distances form; this form enables amendment of the Relief Vehicle Distance and Excess and Under distance; however, the calculated values cannot be edited.

Accesses the Edit WDV form; this form enables amendment of the written down value of the vehicle as calculated at the requested end of the contract.

Accesses the Rebates form; if rebates are permitted for the selected customer then this form enables the system to display the calculated rebates for given areas such as Insurance, Motor Club and RFL. These values may be edited.

These recharges are dependent upon the Recharges settings for EFL, Motor Club and Insurance in the Address Groups Details 2 Tab.

Accesses the Collection Record form; this form enables the creation and subsequent administration of collection records for the selected vehicle.

Accesses the Print form; this option enables a Termination quotation to be printed for the customer in the format held against the customer record for the quotation type that is being processed.

Accesses the Termination Address form; this option enables the CRM address to be edited for the purposes of the Termination.

Accesses the Accept Quote form; this option enables the Termination Quotation to be "accepted".

Accesses the Edit Primary Charges form; this option enables editing of the primary charges by way of the rental charge only.

Selection of the Insurance command button enables insurance information (if applicable) to be viewed or edited prior to the final termination being carried out.

Selection of the Stolen command button enables the date on which the vehicle was stolen or written-off to be entered.

Accesses the Final Procedure form; this option enables the final details of the termination to be completed prior to terminating the vehicle contract.

Status Bar

Displays textual prompts and status throughout the life of the manual termination.
