The Document types option allows you to view which documents are archived. You may view a specific file by simply selecting the specific document type. When the archived file is displayed, all of the information relating to the selected file is also displayed.
To display document types:
From the Autoline Master menu, select the Document archive option and the company you require.
The DOCUMENT ARCHIVE menu is displayed.
Select the Document types option.
The Document Archive Types form is displayed.
Enter the Document Type that you want to view and press the TAB key.
Tip: Alternatively, click the Ellipsis button to search for the document type.
The information regarding the selected document is defaulted into the appropriate fields on the Details Tab.
The Document Archive Types form is displayed when the Document types option is selected from the DOCUMENT ARCHIVE menu. From this form you can create and maintain document types.
The form consists of the following fields:
Document Type: A two-character alpha code that represents the type of document.
The Detail tab consists of the following fields:
Description of Doc: The full description of the type of document.
Archive Library: The actual address of the archived file.
Last identifier: The record number, which is the prime key.
Lookup file: This is a split field that consists of the module and file name.
Unique Reference: Where the last identifier was stored.
Reference 1/2/3: Fields that are used to locate the invoice file.
Days to keep: How long the file should be archived.
Lookup field name: Allows you to enter a specific field to assist in the process of searching for the document.
Format type: This field is only populated for scanned documents (TIF) and marketing letters (RTF).
BUTTONS:
Exit: Returns you to the DOCUMENT ARCHIVE menu.
Help: Displays help on the current application using the default browser.
