Projects Form

The Projects form is displayed when the option is selected.

The projects form displays the project code, and various other fields which are associated with the project. This facility is designed for compnay's that monitor their capital expenditure on major projects [e.g building a new workshop]. As a result, it is sensible to have a person who approves the budgeted amount, an approved budget amount, and the ability to determine how much has been spent throughout the life of the project. Hence every time an amount is written to an asset [or assets] that relates to a certain project code, and the project file is updated, a clear picture of the project's status will then be shown.

FIELDS

Many of the fields do not require specific explanation as they are user-definable. The most important, mandatory fields will be discussed.

  • Project Code: This field is important, as the project code can be entered in the Asset header record,[Description tab] meaning a number of assets can be linked to the one project.

  • Description

  • Additional Notes

  • Project Start Date

  • Estimated End Date

  • Status Code

  • Date Project Closed

  • Current Year's budget

  • Next Year's Budget

  • Total Approved Budget

  • Authorised by

  • Authorised Date

  • Input Net Book Value: This field is updated when an asset is created or amended and a project code is assigned in the Asset Header description tab,and the project file is updated. It will add the Net Book Value of the asset/assets related to the project code.

  • System Net Book Value

  • Total Spend To Date

  • Current Year Spend

  • Assets Not Rec'd total

  • Asset's Not Rec'd year to date

  • Next Year not Rec'd

    BUTTONS

    Exit: Returns you to the main menu.

    Help: Displays help on the current application using the default browser.

    Ad-hoc: Allows an ad-hoc report to be run on the project maintenance file.

    Tip: Click on Grid button to view the form in Grid format.

    Create/Exit:

    Depending on whether a project is going to be created or deleted, these buttons can be used.

    Once the codes have been entered in the grid, and the project codes have been entered in the relevant asset headers, the user can see the current status of the project file by clicking the Update Project File from the Asset Register menu.
