Vehicle health check (also referred to as VHC) is a Point-of-Sale operation that helps to identify faults on a vehicle that may result in extra work that a dealer could carry out now or in the future. To facilitate this a Vehicle health check is completed by a member of the dealership staff (for example: a technician) and recorded prior to entry onto a Point-of-Sale WIP. Each check can be made specific to a franchise, or a number of franchises. To personalise the Vehicle health check to a franchise the Vehicle health check levels file is used.
If changes to the VHC form are required, including descriptions, default follow-up days, and so on, this might require you to add, amend, or delete a Vehicle health check level record. The Franchise Data menu option Vehicle health check levels enables you to facilitate these changes from a form.

This form is displayed when you click Franchise Data > Miscellaneous Options > Vehicle health check levels.
Franchise code: The field enables you to select a Franchise code by means of the ellipsis button
Condition code: The field Condition code is selected from the ellipsis button
Tabs:
The Details tab contains Description and Default follow-up days, populated from the Franchise code and Conditions codes selected.
Description: This is a free text box used to describe the condition, a short snappy description is recommended as this also controls the column width in the VHC grid.
Default follow up days: The days before a vehicle owner is recontacted if work is marked as deferred during the Vehicle health Check. The value can be used when running reports from the VHC save file.
Note: The Default follow-up days also creates a deferred date when using Vehicle Health Check from Point-of-Sale.
Condition default: The VHC grid displays records for each franchise and can have multiple headings. If required on setup a specific column can be marked as default (only 1 per franchise will be allowed). This will have the effect of always presenting the ticks in a default condition (for example - Not checked).
Condition colour: This allows the selection, from a separate pop-up table, of a range of colours to be displayed in the VHC columns.
Note: The pop-up table shows the legend of the colours available and uses radio buttons to select the required colour, these will not be allowed to be duplicated for each franchise.
Add labour to Wip: This gives a user added flexibility during the setup of Condition codes to add a line to the Wip or not. The parameter to add the labour line to the Wip will be set to ticked/enabled by default and will need to be unticked during setup if it is decided not to add a line to a Wip during the VHC record process.
Tip: For example if the condition is checked as OK then a user may not wish this recorded to the Wip, however this does not prevent a check condition from being written to the VHC save file (SO.vhcsv) for reporting purposes.
Condition codes for current franchise: This grid displays multiple rows, dependant on setup, for each franchise and has four headings Franchise, Condition Code, Description and default follow-up days.
Tip: The functionality exists to allow the double-click of the row to allow a condition code to be edited.
To add a Vehicle health check level record:
Click Franchise Data > Miscellaneous Options > Vehicle health check levels.
The Vehicle health check state levels form is displayed.
Click the Create button.
The list of available franchises is displayed.
Select the Franchise required.
Note: Blank can be used if franchise specific records are not found, although this is not recommended.
Click Description and enter text.
Click Follow up days and enter a value and select Tab.
Click Condition default populate the tick box (only one permitted per franchise) select Tab.
Click Condition colour Select the search ellipse to get the pop-up screen to display, select using the appropriate radio button from the list of available colours, click OK button.
Note: The Condition codes for current franchise grid is automatically populated with the new record. Click the Save button to finish the process.
If a Vehicle health check description changes or needs to be updated you can amend the record without the need to delete it.
To amend a Vehicle health check level record:
Click Franchise Data > Miscellaneous Options > Vehicle health check levels.
The Vehicle health check state levels form is displayed.
Click the franchise code button ellipsis button
A list of current franchises that have existing records is displayed.
Select the franchise you want to amend.
The Condition codes for current franchise grid is populated.
Select the record, click the amend button. Update and save the record as required.
The Record is updated.
A record may need to be deleted if a franchise letter changes.
To delete a Vehicle health check level record:
Click Franchise Data > Miscellaneous Options > Vehicle health check levels.
The Vehicle health check state levels form is displayed.
Click the franchise code button
A list of current franchises that have existing records is displayed.
Select the franchise you want to delete. Click the Delete button and confirm delete to remove the record.
The record is deleted from the vehicle health check levels file.
