When an agreement is created some of the fields contained in the Reservations form are already populated with values when first accessed. These values (or defaults) are set up from within this option. This is useful for both field validation and limiting the number of required key depressions.
A good example of a default field value would be the Location code. This is particularly important where more than one Vehicle Rental company is in use; in this case the default location may be set up appropriately for each rental location. Ensure that the Location out and Return Location fields are set to a default value equal to the location code required and the and this field does not have to be visited each time an agreement is created.
To access agreement defaults:
From the Master Menu, select the Vehicle rentals option and Company required.
The VEHICLE RENTALS menu is displayed.
Select System maintenance option.
The System Maintenance menu is displayed.
Select the Agreement defaults option.
The Agreement defaults form is displayed.
The Agreement defaults form is displayed when the Agreement defaults option is selected from the System Maintenance menu.
The form displays a large number of fields which hold all the data for the agreement record. The required field must be located (by using the scroll bar if necessary) and updated with the default value required.
Note: It must be noted that the values entered are not validated and that the changes, once made, are automatically saved back to the file.
COMMAND BUTTONS:
Exit: Returns to the System maintenance menu without saving any changes.
Help: Displays online context-sensitive help using the default browser.
Cancel: Returns to the System maintenance menu without saving any changes.
Save: Exits the form and saves any edited values back to the file.
