Credit Note Reasons

To access credit note reasons:

  1. From the Master Menu, select the Vehicle rentals option and Company required.

    The VEHICLE RENTALS menu is displayed.

  2. Select Miscellaneous options.

    The MISCELLANEOUS OPTIONS menu is displayed.

  3. Select the Credit note reasons option.

    The Credit Note Codes form is displayed.

The Credit Note Codes form is displayed when the Credit note reasons option is selected from the MISCELLANEOUS OPTIONS menu.

For each credit note that is produced (whether it be through the Print Credit Note function within the agreement itself or through Misc Invoicing/Credits) the system requires that a specific reason is given for generating the credit note. These reasons are defined within this table.

There is no limit to the number of credit note reasons that can be stored in the file although only one reason may be allocated against a selected credit note.

New credit note codes may be created, amended, displayed, deleted or searched. The [...] may be used to select the required Credit code field.

The Amend option is covered below during which the content of each of the fields held against the credit note record are explained:

Credit Code: Input the credit note code required. This is a four character alphanumeric field.

Tip: This is best done when the form is in Column mode. The Create button can then be selected. Click into the yellow row at the top of the form and enter the code. Once the associated description is also entered then the Save command button may be used to save the newly entered reason code. Alternatively, whilst in Grid mode a right-click enables a new row to be inserted into the form so that a new code/description record may be entered.

Reason: The full length description of the reason associated with the code.
