The group extensions option is found on the Miscellaneous Menu within the Vehicle Rentals module.
This option is used to provide greater visibility of vehicle variations within specific hire groups. The group extension is a 1 digit (alphanumeric) code with an associated description. For cars, for example, code 1 may have an associated description of Air Conditioning or for trucks code 1 may have an associated description of Tail Lift. This extension code may then be allocated to the rental vehicle record (in MK.drveh) in Marketing/CRM. When this vehicle is subsequently allocated to its appropriate hire group and used within the rental system, the rental operator can then drill-down in to the hire group within the reservations form (this displays the Allocations Summary form) to see what vehicles are in the group; those vehicles containing an extension group code may then be easily identified as the Group column now contains the extension code as well as the hire group code. Therefore, tail-lift vehicles may be identified at a glance.
To access group extensions:
From the Master Menu, select the Vehicle rentals option and Company you require.
The VEHICLE RENTALS menu is displayed.
Select Miscellaneous options.
The MISCELLANEOUS OPTIONS menu is displayed.
Select the Group extensions option.
The Group extensions form is displayed.
The Group extensions form is displayed when the Group extensions option is selected from the MISCELLANEOUS OPTIONS menu.
New extension codes may be created, amended, displayed,
deleted or searched. The ![[...]](Ellipsis.gif){kind=small}
may be
used to select the required Rental Group and Group Extension
codes.
The Amend option is covered below during which the content of each of the fields held against the group extension record are explained.
The following details are displayed:
Rental Group: The group extension must relate to an existing hire group code. The hire group code must have already been created within the Hire group table. The appropriate hire group code should be selected.
Group Extension: The group extension code. A single character (alphanumeric) value. This code is ultimately visible in the Allocations Summary drill-down form from the Reservations form.
Note: Once created, this code is then allocated to the specific vehicle within the rental vehicle details form within Marketing/CRM
Description: The full description associated with the group extension code e.g. Tail Lift.
Standard Rate 1: The hourly cost rate value associated with the group extension item.
Standard Rate 2: The daily cost rate value associated with the group extension item.
Standard Rate 3: The weekly cost rate value associated with the group extension item.
Standard Rate 4: The weekend cost rate value associated with the group extension item.
Standard Rate 5: The monthly cost rate value associated with the group extension item.
