Settlement Terms

This option allows you to create a range of terms for prompt payment/early settlement of accounts in the Sales and Purchase Ledger.

The Settlement terms can be structured to apply discounts on a single or two-tiered basis. For example a settlement can be applied giving 20% discount if settled 10 days prior to actual due date and a further discount of 5% on 20 days prior to due date.

The system will deduct these discounts (on total document or goods only, which is dependant on a field entitled "SDBASIS" set in NL Vat options, VAT Groups to be either T or G respectively]) and, after the settlement period expires, the system will revert to normal trading terms.

To access this option:

1. From the Autoline master menu select the Nominal Ledger option and the company you require.

2. Select Miscellaneous options option.

3. Select the Settlement Terms option.

4. The Settlement Terms form is displayed.

Once in the form, the user has the option to create , amend or delete a settlement term.

To create:

Click the Create button [there is a facility to create a brand new term - use the radio button entitled "blank", or use an existing settlement term as a template- use the radio button entitled "copy".If using the copy facility, the user must enter the existing term code to be used as a template first,using the button on the Code field at the top of the form to select a code as a template , PRIOR to clicking Create.

On entering your code you are prompted to complete the following fields:

FIELDS

Description: Enter text that describes the settlement term, e.g. 20% in 10/5% in 20. There are nine language descriptions, each with the capacity to hold up to 20 characters.

Periods 1 & 2: If Period type was D then enter the number of days for discount. If Period type was N or F then enter day of month for discount.

Primary Discount percentage: Specify including decimal point the amount of discount attracted.

Secondary Discount percentage: Specify including decimal point the amount of discount attracted.

Days/Next/Following 1: Use the box to select the relevant choice.

Days/Next/Following 2: Use the box to select the relevant choice.

Suspend Discount: Set the box to ticked for Yes, and empty for No.

Suspense Account: Use the button to select the relevant NL account code.

Discount reason: The user can enter some meaningful text to explain why the term attracts the relevant discount.

BUTTONS

Amend:Enables the fields to be amended.

Save:Saves any amendments.

Delete:The user must select an existing term code, then will click the Delete button twice to remove the record from the file.

Exit: Returns the user to the Miscellaneous menu.

Help:Displays online help in the default browser.

Ad-hoc: Allows the user to perform an ad-hoc report enquiry in the settlement terms file.

Delete: On clicking the Delete button you are prompted for the Settlement code to be deleted.
