Administration Security Form

The Admission Security form is displayed when the Stockbook permission option is selected from the VS SYSTEM MAINTENANCE MENU.

Display: Controls whether the user is able to use the Display-record option from the main vehicle administration menu, within new or used vehicles

The following six fields have the following options available when:

Note: If these first two parameters are set to N for No access then the rest of the parameters are of no consequence as the operator will not be able to access vehicle administration to the point where they may be exercised.

Purchase: If the Purchase field is set to Y for Amend and display then the user will be able to create vehicles and amend the purchase details of them, as well as view the purchase related data in the Display-record option. If it is set to N for No access then the user will not be able to create vehicle stock records, or amend purchase related data, or even display it through the display-record function. If the parameter is set to D for Display only, whilst they will not be able to create vehicle records or amend purchase related data, they will still be able to access the purchase related screens.

Sale: If the Sale field is set to Y for Amend and Display then the user will be able to amend the details of existing vehicle records so far as the sales related data is concerned, as well as view the sales related data in the Display-record option. If it is set to N for No Access then the user will not be able to amend sales related data, or even display it through the display-record function. If the parameter is set to D for Display only, whilst they will not be able to amend sales related data, they will still be able to access the sales related screens.

Supp/CRN: If the Supp/Crn (supplementary invoices and/or credit notes) parameter is set to Y for Amend and display, then the user will be able to amend the details of existing vehicle records so far as the creation of supplementary invoices and/or credit notes and their related data is concerned, as well as view data of that nature in the Display-record option. If it is set to N for No Access then the user will not be able to amend supplementary invoices and/or credit notes related data, or even display it through the display-record function. If the parameter is set to D for Display only, whilst they will not be able to amend supplementary invoices and/or credit notes related data, they will still be able to access data of that nature through the Display-record option.

Costs: If the Costs parameter is set to Y for Amend and display, then the user will be able to amend the details of existing vehicle records so far as the costs data is concerned (subject to priority), as well as view costs data in the Display-record option. If it is set to N for No Access then the user will not be able to amend costs related data, or even display it through the display-record function. If the parameter is set to D for Display only, whilst they will not be able to amend costs related data, they will still be able to access data of that nature through the Display-record option.

Log Display: If the Log parameter is set to Y for Amend and display, then the user will be able to access the details of log file entries in respect of existing vehicle records. If it is set to N for No Access then the user will not be able to display log file entries. If the parameter is set to D for Display only, then the functionality will be the same as Y for Yes, as the log file access function is only of a display nature.

Vehicle finder: If the Finder parameter is set to Y for Amend and display, then the user will be able to utilise the Vehicle finder option from the Vehicle administration main ring menu. If it is set to N for No then the user will not be able to utilise the vehicle finder function. Although the program allows the parameter to be set to D for Display only, this has the same effect as setting it to N for No Access.

Access to build schedule: (This will only display if the product is installed) If the parameter is set to Y for Amend and display, then the user will be able to utilise the build schedule option from the Vehicle administration. If it is set to N for No then the user will not be able to utilise the build schedule function. The program allows the parameter to be set to D for Display only allowing the user to have display access to build schedule only.

Other

Unreserve others vehicles: Click the check box to allow the user to unreserve vehicles that have been reserved by other sales executives.

User reports: Up to five reports can be specified which are displayed on the Report menu in Vehicle Administration. Click the ellipsis [...] buttons to select from a list of all reports. If no reports are selected, entries in System Parameters will are used by default.
