Prevent/allow Access

If a system manager wants to prevent other users from having access to the Vehicle Rentals module then this option will allow it to be temporarily locked. This may be because file maintenance is taking place, or because core records are being set-up or adjusted.

Tip: Action taken within this option only affects those users in the same module. For example, if in Vehicle Rental the Display Users command button is selected then terminals working in Maintenance Control are not displayed.

To prevent/allow access:

  1. From the Rev.8 Master Menu, select the Vehicle rentals option and Company you require.

    The VEHICLE RENTALS menu is displayed.

  2. Select System maintenance option.

    The SYSTEM MAINTENANCE menu is displayed.

  3. Select the Prevent/allow access option.

    The Prevent/allow access form is displayed.

Prevent/Allow Access form

The Prevent/allow Access form is displayed when the Prevent/allow access option is selected from the SYSTEM MAINTENANCE menu.

This form is constituted of four elements, which are as follows:

Title Bar

In addition to displaying the form name the Title Bar provides a number of useful buttons.

Prevent/Allow Access Dialogue Box

The following fields are displayed within the Prevent/Allow Access Dialogue Box:

Module: Displays the current module code and name e.g. DR - Vehicle Rental.

Company: Displays the current company number and name e.g. 73 - Training Company.

Status: A checkbox which denotes that access is either currently allowed or prevented.

When the Status check box is left blank then access is permitted; the form displays an Access Allowedmessage. When the check box is set to a tick, then other users are prevented from gaining access to the module although users already in the company can continue to use it. They can be identified using the Display users option. If a user subsequently tries to enter the module a message is displayed stating Access prevented by ??? on Terminal X prompt (where ???is the user id of the person locking the module and X is the Terminal number). The module must be unlocked by the same user and using the same terminal number.

Access Grid

When the Display Users command button is selected, the information shown in the grid is as follows:

Terminal: The Terminal number that is being used e.g. 52.

Location: The Terminal location description.

User ID: The logged-on User ID. An ID of ILLEGAL denotes that the user was in the module but exited illegally.

Access: The access type has a code of either I or X.

Type I denotes that the other user is in the module.

Type X denotes that the other user has the module in Exclusive use mode. Any further users attempting to use the Management Accounts are prevented from doing so.

COMMAND BUTTONS:

Display users: Clears the form and replace the display with a list of all of the current users of the current module/company combination. The form displays the terminal number, the location of the terminal, an ID and the access status.

Clear illegal users: Where a user has logged out of the system illegally this option removes their entry within the form. It does not remove users who are currently correctly logged into the company being viewed.

Exit: Returns to the System maintenance menu.

Help: Provides online access to context sensitive help for the current application using the default browser.
