Create Records from NL

When initially setting up your Management Accounts system, this option can be used to automatically create a 'chart of accounts' by copying over cost centres and expense codes from the Nominal Ledger. Your Consultant can advise on the applicability and timing of this run.

To Create records from the NL:

  1. From the Master menu select the Management accounts option company you require

    The MANAGEMENT ACCOUNTS menu is displayed.

  2. Select Miscellaneous options option

    The MA MISCELLANEOUS OPTIONS menu is displayed.

  3. Select the Create records from NL option

    The Create records from NL form is displayed.

The Create Records from NL form is displayed when the Create records from NL option is selected from the MISCELLANEOUS OPTIONS menu.

The records are created with the MA codes and descriptions from the Nominal Ledger expense code file. Balance sheet codes are only set up if the system parameters within Management Accounts indicate that budgets are required on the balance sheet.

Any 'mapping' of Nominal Ledger codes is recognised by this option, which creates just one entry in the expense code (or cost centre) description file for a given 'MA code'(see Nominal Ledger). For example, nominal expense codes 100, 110 and 120 are all 'mapped' to budget expense code 500. The entry for 500 is created once only with the description of the first Nominal code encountered.

It is quite in order to run this option more than once, as existing records are retained, and only new ones created. However, if you are running it on a subsequent occasion following amendments to your chart of accounts, remember that both old and new codes remain on file.

BUTTONS

OK: Runs the Create records process. The message Creating expense codes from NL is displayed in the form while it is running.

Cancel: Click the Cancel button to quit to the Miscellaneous Options menu without carrying out the verification.

Help : Displays help on the current application using the default browser.
