Creating and Amending Loan Vehicles

The Create Loan Vehicle and Save Loan Vehicle forms are accessed from the Loan Vehicle Diary form. To amend a vehicle, click on its description. To create a new loan vehicle, click on Create vehicle icon or from the top tool bar select file and create vehicle. Vehicles can only be created on the Loan vehicles diary when the CRM vehicle record is at 'S' or 'D' status.

Note: Access to these features is determined by a user priority setting in System Parameters. Lower priority users can view the details of a vehicle in read-only mode by clicking on its description in the diary grid.

The same basic form is used for both creating and amending, the only difference being the number of fields that can be edited.

The following fields can be edited when creating a vehicle:

General

  • Vehicle type: Select an option from the e.g. Demo, Courtesy, Rental. These options are create from Miscellaneous options, Loan vehicle options, Loan vehicle status
  • Loan car group:Select an option from the e.g. Small, Medium, Large. These options are create from Miscellaneous options, Loan vehicle options, Loan Vehicle Groups
  • Description: The name that is be displayed in the Loan Vehicle Diary. Maximum 50 characters. When creating a new vehicle, a suggested description will be entered once the model and variant have been selected.
  • Generic colour code: Click on the to select a 3-character code created in generic colours. .
  • Active

  • Active: Select the status of the vehicle in regard to availability for booking loans: Active (Y), Not active (N) or Retired (R).
  • On fleet

  • End date: Enter the date that the vehicle will be retired and no longer available for booking.
  • Note: The option under the heading Fixed are all mandatory, the following fields cannot be edited when creating a new loan vehicle, but can be amended in the Vehicle Record this will then update the loan vehicle information.

    Fixed

  • Stock number: Displays the New or Used stock number from the Vehicle Stock books module or the CRM MKV stocking record number.
  • Franchise data company: Displays the Franchise date company number on the CRM vehicle record.
  • Branch Displays the location responsible for the vehicle. This will determine who will receive an email whenever a booking is created that requires authorisation.
  • Franchise: Displays the manufacturer of the vehicle.
  • Model: Displays the model of the vehicle. The options available are determined by the franchise selected on the CRM vehicle record..
  • Model variant: Displays the model variant of the vehicle. The options available are determined by the model selected on the CRM vehicle record.
  • Registration number: Displays the registration number entered on the CRM vehicle record.
  • Transmission: Displays the transmission of the vehicle e.g. 5 speed that can be automatically set by the system, according to information in the Franchise Data module, once the Model variant has been selected on the CRM vehicle record.
  • Fuel type: Displays the fuel type of the vehicle e.g. unleaded that can be automatically set by the system, according to information in the Franchise Data module, once the Model variant has been selected on the CRM vehicle record.
  • Fuel tank capacity: Displays the fuel tank capacity e.g. 55. This option needs to be entered manually against the CRM vehicle record and is used to calculate fuel costs on Courtesy vehicles.
  • The following fields are always read-only:

  • Date changed: The date on which the active status was changed.
  • Who changed: The user who last changed the active status.
  • Start date: The date from which the vehicle will be active and available for loan bookings.
  • Date retired: The date on which the vehicle was retired.
  • Who retired it: The user who retired the vehicle.
  • To save changes select Save from the File menu or click the Save toolbar icon. If any required information has been omitted a warning is displayed. Otherwise the vehicle record is saved and the form exits. To exit without saving select Close from the File menu or click the Close toolbar icon.

    Damage

    The damage area allows details to be recorded against a loan vehicle such as dents, cracked glass or tyre wear. This damage will be printed on the Courtesy Start (KLS) and Return (KLR) loan vehicles agreement form. Click on the no damage option to create, edit or amend conditions against the selected vehicle.
