Creating a Manual Credit Record

Note: This help system contains standard information, some of which might not apply to your franchise. Click the Help button on the relevant forms or menus to see any existing help file specific to your Autoline configuration for that form or menu. Alternatively, a help file may exist in the Warranty Table of Contents specific to your manufacturer.

To create a manual credit record:

  1. From the Operations menu, select the Warranty v2 option and click OK.

    The Warranty Claims Menu is displayed.

  2. Select the Claim payments menu option and click OK.

    The Service and Repair Payments Menu is displayed.

  3. Select the Service and repair payments option and the Point-of-Sale company if you are prompted for one, and click OK.

    The Warranty Claim Payments form is displayed.

  4. Select Tools > Parameters on the menu bar or click the View/Edit parameters button settings.gif on the toolbar.

    The Warranty Parameters form is displayed.

  5. On the Financial parameters tab, in the Accounts parameters group, change the Payment import method parameter to Y Manual payments in use, and click OK.

    You are returned to the Warranty Claim Payments form, with the Create manual credit record button FileNew.gif available.

  6. Select Tools > Manual creation on the menu bar, or click the Create manual credit record button.

    The Payments Manual Entry form is displayed.

  7. Complete all fields on the form and click Create on the Summary tab, followed by Close.

    You are returned to the Warranty Claim Payments form, with the manual credit record created.

Payments Manual Entry Form

This form is displayed when you select Tools > Manual creation on the menu bar on the Warranty Claim Payments form, or click the Create manual credit record button. It enables you to create a manual credit record.

Credit Header Detail Tab

Credit number: Number of newly-created manual Credit Note.

Date and tax point: Date of Credit Note, selectable by clicking the Ellipsis button.

Number of claims: Number of claims being paid off by the Credit Note.

Payment Header Detail Tab

Note: This tab becomes available when there are claims whose status is suitable for payment.

Grid:

Claim: Claim number in warranty system.

Seq: Number of occurrences of this claim number.

Date: Date of the claim.

Pay?: Click the cell to indicate that this claim is to be paid off by the manual credit record. Clicking an already ticked cell removes the tick.

Note: When you click the Continue button, the Pay? column is cleared and renamed Edited. Click Reset if you want to change it back to Pay?

Grid right-click menu:

Select this claim for payment: Ticks the Pay? cell to indicate that the selected claim is to be paid off by the manual credit record.

View claim details: Displays details of the selected claim.

View POS invoice: Displays details of the Point-of-Sale warranty invoice.

Payment Header Detail Tab Buttons:

Continue: Makes the Summary Tab available.

Note: This button becomes available when the number of claims selected to be paid off by the manual credit record matches the Number of claims on the Credit header detail tab.

Reset: Removes all the ticks in the Pay? column, enabling you to restart the selecting of claims.

Summary Tab

Note: This tab becomes available when the Continue button on the Payment header detail tab is clicked.

Invalidity reasons: List of reasons why the manually-created credit record is invalid.

Summary Tab Button:

Create: Creates the manual credit record.

Note: This button becomes available when the manually-created credit record is valid.

Buttons:

Close: Returns you to the Warranty Claim Payments form, with the manual credit record created.

Help: Displays this help topic in a browser.
