Note: This help system contains standard information, some of which might not apply to your franchise. Click the Help button on the relevant forms or menus to see any existing help file specific to your Autoline configuration for that form or menu. Alternatively, a help file may exist in the Warranty Table of Contents specific to your manufacturer.
You can view and edit the parameters for a dealer and company. There are two levels of parameters, the dealer level and the company level.
To view or edit parameters:
From the Operations menu, select the Warranty v2 option and click OK.
The Warranty Claims Menu is displayed.
Select the Claim payments menu option and click OK.
The Service and Repair Payments Menu is displayed.
Select the Service and repair payments option and the Point-of-Sale company if you are prompted for one, and click OK.
The Warranty Claim Payments form is displayed.
Select Tools > Parameters on the menu bar or click the View/Edit parameters button on the toolbar.
The Warranty Parameters form is displayed.
Amend the fields as required and click OK.
You are returned to the Warranty Claim Payments form, with any parameter changes saved.
This form is displayed when you select Tools > Parameters on the menu bar on the Warranty Claim Payments form, or click the View/Edit Parameters button. It enables you to view or edit parameters.
There are up to four tabs:
Dealer parameters:
Dealer code: The current dealer code, modifiable by clicking the Change button.
Tip: You can switch to a different dealer code for this company, or create a new one, by clicking the Change button.
Company code: The current company code.
Main dealer: Main dealer code, if not the same as the dealer code.
Tip: You can set this dealer code as the default dealer code for this company by clicking the Make default button.
Purge parameters:
Purge main file: Number of days to keep completed claims in the main files.
Purge archive: Number of days to keep completed claims in the archive files.
Auto archive: Number of days between automatic archives.
Last archived: Date when the last archive was performed.
Print formats:
Single claim: Format stationery code for printing a single claim, selectable by clicking the drop-down button.
Multiple claim: Format stationery code for printing multiple claims, selectable by clicking the drop-down button.
Claim submission: Choice of print formats for claim submission to Manufacturer.
Auto-print submission: When this check box is ticked, the system automatically prints claim submission reports.
Credit: Choice of print formats for credit notes.
Claim number sequence:
Note: The fields in this group can be edited by clicking the Edit button.
Sequence/Subset: Sequence and subset number defined for a dealer code.
Last claim number: Number of last claim produced on the system.
POS parameters:
Allow multiple tasks per invoice: When this check box is ticked, more than one task can be raised on a single invoice.
Sublet labour types: Normally S for Sublet.
Take repair date from: Source of repair date, selectable by clicking the drop-down button.
Use today's date if no repair date: When this check box is ticked, if Repair Date on WIP is blank, uses today's date.
Main operation required: When this check box is ticked, a Main Operation code must be included on the WIP.
Causal part required: When this check box is ticked, you must define what caused the failure that is the subject of the claim.
Maximum labour lines: Maximum number of labour lines allowed per claim.
Maximum part lines: Maximum number of part lines allowed per claim.
Max. tasks per claim: Maximum number of tasks allowed per claim.
Task header RTS code: Default RTS code used when a task is created on the Point-of-Sale WIP.
Task identifier: Number of characters that identify the task and any lines attached to it.
Light validation: Whether light validation is required for Point-of-Sale, Manufacturer systems, Both or Neither, selectable by clicking the drop-down button.
ISO country code: ISO country code linked to a Country, Currency, Currency code and Numeric code, selectable by clicking the ellipsis button.
Last submission number: Number of last warranty claim batch submission.
Bulk oil franchise: Name of bulk oil franchise, selectable by clicking the drop-down button.
Tyre franchise: Name of tyre franchise, selectable by clicking the drop-down button.
Payment elements:
Note: The values in the Payment elements grid can be modified by double-clicking the required line.
The grid shows the following for each element (Labour, Parts or Supplementary) of the claim, together with the VAT:
Description: Describes the element.
W/off CC: Write-off Cost Centre for the element.
W/o Exp.: Write-off expense code for the element.
Max w/off %: Maximum write-off percentage for the element.
Max w/off value: Maximum write-off value for the element.
Included: One or more of the following:
- L (Normal Labour)
- M (Fixed-Price Menus)
- N (Non-franchise parts)
- P (Franchise Parts)
- S (Sublet labour)
- U (Unspecified)
Lsal CC: For future use.
Lsal EX: For future use.
Accounts parameters:
Accounts integration: When this check box is ticked, accounts are integrated into Autoline for this company.
Payment import method: One of the following, selectable by clicking the drop-down button:
- Y: Manual payments in use
- N: Electronic imports in use
- O: Payments not in use
Separate VAT element: This check box is ticked when a separate element is required for VAT.
Menus are separate element: This check box is ticked when menus are to be treated separately from normal labour lines.
Default VAT code: The default VAT code.
Priority to o/ride write-off: Priority a user must have in order to be able to override write-offs.
Document posting range: Describes an option for the use of the Accounts Department.
Warranty posting accounts:
Where to post SBI: Either Purchase ledger or Sales ledger.
Susp. cost cent.: Suspense cost centre number.
Tip: The field is followed by a description of the suspense cost centre, or Not found if an invalid number is entered.
Susp. exp. code: Suspense expense code number.
Tip: The field is followed by a description of the suspense expense code, or Not found if an invalid number is entered.
SBI posting account: Purchase ledger or Sales ledger Self-billing invoice posting account number, which you can search for by clicking the Ellipsis button.
Tip: The field is followed by a description of the Self-billing invoice posting account, or Not found if an invalid code is entered.
Orphan account: Purchase ledger or Sales ledger Orphan (unknown) account number, which you can search for by clicking the Ellipsis button.
Tip: The field is followed by a description of the Orphan account, or Not found if an invalid code is entered.
Last SBI number: Number of last Self-billing invoice imported onto system.
Manual payments:
Auto fill credit header: If a manual credit header has been created, ticking this check box automatically assigns next consecutive number.
Extra manual payment field: Name of compulsory field to be added to manual credit note, selectable by clicking the drop-down button.
Accounts parameters:
Account Code: Code for Sales ledger account required for the manufacturer, which you can search for by double-clicking a cell in the Account Code column and clicking the Ellipsis button.
Account short name: Short name corresponding to the account code.
Contingent liability:
Use Contingent liability: A tick in this check box keeps overpayments out of your profit and loss accounts until year end.
CL cost centre: Cost centre to use for contingent liability postings.
CL expense code: Expense code to use for contingent liability postings.
CL minimum percentage: Overpayment percentage triggering contingent liability posting.
CL minimum value: Overpayment amount triggering contingent liability posting.
Mark-up parameters:
Part number: Part number, which you can search for by double-clicking a cell in the Part number column and clicking the Ellipsis button.
Description: Describes the part.
%: Percentage mark-up on the part.
Maximum: Maximum mark-up on the part.
Add?: A tick in this column indicates that the mark-up parameters specified in the % and Maximum columns are to be applied to the corresponding part.
Buttons:
OK: Returns you to the Warranty Claim Payments form, with any parameter changes saved.
Cancel: Returns you to the Warranty Claim Payments form, with any parameter changes ignored.
