This program enables you to update your Autoline system's Purchase Control module with advice notes and order files uploaded from GM.

This program enables you to load and convert advice note files, stock order files and any special files (for example, supersession and backorder files) from GM each day before using them.
If conversion fails while you are loading files, warning messages are displayed and Autoline removes any records processed so far on the stock order or advice note file, returning you to the form without removing the source file. If such a fault occurs, contact your support team, advising them of the error message. See Troubleshooting.
To load and convert files:
Note: If the automatic loading and conversion program is operating, you do not need to carry out this task. If this is the case, the Load and Convert buttons are inactive for all except priority 9 users.
Display the Advice Note & Order Processing form and click Load.
Depending on the settings in the Advice Notes Parameters form, the files are transferred from a remote server or a temporary store on your PC. During transfer, a progress bar indicates how much of the task has completed as a proportion of the whole.
When the transfer is complete, click OK.
You are returned to the Advice Note & Order Processing form.
Click Convert.
Note: If more than one file is awaiting conversion, a list of files is displayed from which you must select one. (You can only convert one at a time.)
The system starts to convert the file. On completion, a message box is displayed containing the text:
Convert completed OK
Click OK.
You are returned to the Advice Note & Order Processing form.

To delete a GRN:
Display the Advice Note & Order Processing form and, on the Advice tab, select the GRN No. of the advice note to be deleted and press TAB.
Note: You must explicitly select the GRN No. and press TAB, otherwise the grid is not updated. This is the case even when the correct GRN No. is already selected!
The GRN's order lines are displayed in the grid.
Click Delete GRN.
A confirmation dialog box is displayed containing the message:
Are you sure you want to delete this advice note?
Click OK.
A Return dialog box displays the number of part lines deleted.
Click OK.
You are returned to the Advice Note & Order Processing form still with the deleted GRN No. selected and its details populating the Advice grid.
Tip: To confirm that the record has been deleted, Exit to the Advice note and order processing menu, and re-display the form. The deleted advice note should be missing from the GRN No. drop-down button's list.
To display the main form:
From the Autoline master menu, select Manufacturer systems and GM.
The GENERAL MOTORS OPERATIONS menu is displayed.
Select the Advice note menu option.
The Advice note and order processing menu is displayed.
Select the Advice note processing option.
Note: If there is more than one Purchase Control company on your Autoline system, you are prompted to select one. Select the appropriate PC Company and click OK.
The Operator form is displayed.
Enter your Login and, if required, your Password, and click OK.
Note: It is possible to specify a default operator in the Default POS operator code for EOD processes field on the Dealer options tab of the Advice note parameters.
The Advice Note & Order Processing form is displayed.
This form is displayed when you select the Advice note processing option from the Advice note and order processing menu. It enables you to manually load and convert advice note files, stock order files, and special files (for example, supersession and backorders).

Exit: Returns you to the Advice note and order processing menu
PUSH BUTTONS (along base of form):
Load: Enables you to load advice notes from alternative sources
Convert: Converts a loaded file
Accept: Creates an order in Purchase Control from the displayed order file uploaded from GM, setting its grid line GM status code column to A
Reject: Sets the GM status code column in the grid line for the displayed order file uploaded from GM, to R (without creating an order in Purchase Control)
Delete GRN: Deletes the displayed advice note without linking it (without processing it)
Note: The Delete GRN button is displayed only if you have the necessary access priority (see the Communications tab of the Advice Note Parameters form).
Link: Ties the displayed advice note (GRN) to the Purchase Control order from which it is derived, refreshing the grid to contain only exception lines (if any)
Exceptions: Refreshes the grid to display only the advice note's exception lines. For example, if you carry out a link with no update, you can use this to preview exceptions.
Print: Prints the displayed record
