Up-Selling Records

Introduction

The up-sell record system enables you to create and maintain records for the use with Wip Wizard, Vehicle Health Check and PDA/Remote Applications. Upsell maintenance is based upon a Tree Structure used to create up-sell records consisting of the following:

Warning: You cannot have an Upsell record with a product type of P (Parts) linked to VHC usage.

To enter the Up-sell record system:

  1. On the main POINT OF SALE menu, select Miscellaneous options.

    The MISCELLAENOUS OPTIONS menu is displayed.

  2. Select the Up-sell records option.

    The Up-sell Structure form is displayed.

Creating an Up-sell Record for Use in Vehicle Health Check

In the Vehicle Health Check program, Layers are created first to act as headers on the VHC form and then Items are created below the layers. Only Items are loaded to a Point-of-Sale Wip in the VHC program.

Under each layer new Items can be created. These can be created as Part Numbers, RTS codes or 00 menu codes. It is usual for VHC to use only RTS codes, as these load individual menu codes to a Wip.

Tip: To aid monitoring and future reporting it is recommended that Unique RTS codes are created only to be used in the VHC application.

To create an Up-sell record for use in Vehicle Health Check:

  1. On the Up-sell Structure form, click the FolderOpen.gif Up-sell Structure icon in the left navigation pane.

    The New Item fileNew.gif and New Layer addFolder.gif toolbar buttons are enabled.

  2. Click the New Layer toolbar button.

    The left navigation pane becomes highlighted in grey and the form contents become editable.

  3. Enter the Product description and click the Save Save.gif toolbar button.

    The new layer is added to the tree in the left navigation pane.

  4. Once the layer is created, Items must be created within or below it. Click the appropriate Layer in the left navigation pane to enable the New Item toolbar button.

    The New Item toolbar button is enabled.

    Note: New layers and items can be edited at any time after they have been created.

  5. Enter the appropriate criteria into any or all of the following areas on the form: Vehicle Information, Selection, Product Information, Usage and any notes you may want to display in the Additional Text box on the Other tab.

    If any of these fields are populated, this causes the item to be available only if the vehicle criteria selected are met.

Creating an Up-sell Record for Use in Wip Wizard

To create an Up-sell record for use in Wip Wizard:

  1. On the Up-sell Structure form, click the FolderOpen.gif Up-sell Structure icon in the left navigation pane.

    The New Item fileNew.gif and New Layer addFolder.gif toolbar buttons are enabled.

  2. Select Create > New Item from the menu bar or click the New Item button.

    The left navigation pane becomes highlighted in grey and the form contents become editable.

  3. Complete the form if necessary and select File > Save from the menu bar or click the Save Save.gif button.

    The new record is created.

Note: With Wip Wizard the product information field must be set to M (Main (Favourites) or A (Additional (Upsells)). Completing the rest of the fields is optional, as the record can be created with the default records that exist.

Re-sequencing the Display Sequence of Up-sell Records

The position of Up-sell information in the Record Vehicle Health Check function in Point-of-Sale is defined by the position of the up-sell information in the Upsell data file, which you can amend.

To amend the position of an Up-sell record:

  1. On the Up-sell Structure form, right-click the Layer or Item in the left navigation pane that you want to re-sequence and select Re-sequence from the drop-down menu.

    The Re-sequence form is displayed.

  2. Click the Layer or Item that you want to re-sequence.

    Up and Down navigation arrow buttons are displayed.

  3. Use the navigation buttons to place the Layer or Item in the required position and click OK.

    The new position is saved.

Maintaining Standard Text for an Upsell Record

You can add a maximum of nine Standard Text lines to the Upsell record, but only six can be selected during the Vehicle Health Check Entry process. You can edit existing text.

To maintain the Standard Text of an Upsell record:

  1. On the Up-sell Structure form, select the Layer or Item in the left navigation pane whose standard text or other details you want to amend and select File > Edit from the menu bar or click the Edit MileageUpdate.gif button.

    The fields become editable and the Standard text Details.gif button is enabled.

  2. Make the changes you require to the fields or click Standard text to add standard text to the record.

    A Standard Text Lines form is displayed, allowing for the entry of up to nine lines of 60 characters of text.

  3. When you have added the standard text you require, click Confirm. Click Save to save your changes or Cancel to abandon them.

    The changes you have made are saved or abandoned as required, any standard text you entered being associated to the Upsell record..

Maintaining Units of Measure

Note: There are two different methods of maintaining units of measure, depending upon whether the version of Autoline you are using is able to display a Units Of Measure form or a VHC measured values group box.

The system allows for a maximum of four Units of Measure against each Vehicle Health Check event.

Units Of Measure Form Method

To maintain the unit of measure of an Upsell record using the Units Of Measure form:

  1. On the Up-sell Structure form, click the Upsell Item to be maintained and select File > Edit from the menu bar or click Edit.

    The fields become editable and the Units of measure Scales.gif button becomes available.

  2. Select Item > Units of measure from the menu bar or click the Units of measure button.

    The Units Of Measure form is displayed.

  3. Complete the form and click OK.

    The unit of measure is updated as required.

VHC Measured Values Group Box Method:

To maintain the unit of measure of an Upsell record using the VHC measured values group box:

  1. On the Up-sell Structure form, click the Upsell Item to be maintained and select File > Edit from the menu bar or click Edit.

    The fields become editable.

  2. Edit the fields in the VHC measured values group box as required and select File > Save from the menu bar or click Save.

    The unit of measure is updated as required.

Maintaining Tyre Links

To maintain the Tyre link of an Upsell record:

  1. On the Up-sell Structure form, click the Tyre Upsell Item to be maintained and select File > Edit from the menu bar or click Edit.

    The fields become editable.

  2. Click the Up-sell analysis code field Drop-down button and select TYR from the drop-down list.

    The Tyre Link Tyres.ico button becomes available.

  3. Click the Tyre link button.

    The VHC Tyre details form is displayed.

  4. Complete the form and click Save.

    The Tyre link is updated.

Maintaining the VHC Menu Finder

Note: This function is available only if VHC Touch in installed.

To maintain the VHC Menu Finder record:

  1. On the Up-sell Structure form, with the Item to be maintained selected, select VHC > VHC Menu Finder or VHC > VHC Menu Finder Search from the menu bar or click the Menu Finder Legend.gif button.

    The VHC Menu Finder Maintenance form is displayed.

  2. Complete the form and click Save.

    The VHC Menu Finder record is updated.

Up-sell Structure Form

This form is displayed when you click Point of Sale > Miscellaneous Options > Up-sell records. It enables you to create or edit Up-selling records.

You can expand or collapse the browser elements to see more or fewer sub-entries. A plus sign (+) next to an element indicates that you can expand it to show more sub-entries. A minus sign (-) indicates that you can collapse it.

Because every installation of Autoline is uniquely configured, your installation might not include all the elements in this list.

Additionally, access permissions, called priorities, determine whether a particular element is displayed. Each element is assigned a priority when the program is installed. Your administrator assigns each user a priority. Any browser element whose priority is higher than your own is omitted from the browser. If you think you need access to an element described in this help but it does not appear in the actual browser, check with your administrator.

VHC > VHC Menu Finder (If VHC Touch is Installed) Legend.gif Enables you to maintain the VHC Menu Finder records.

Left Navigation Tree Structure Pane

The Tree Structure is built up as you create Layers and Items. The order they appear in is always as follows:

  1. Layer

  2. Item (although an Item can be created independently of a Layer).

You can expand the branches of a tree to reveal an Item that lies beneath it, by clicking the Add field addField.gif button alongside it. To edit open the tree structure to reveal the line, highlight the line then take the Edit option, either by clicking the Edit MileageUpdate.gif button or by selecting File > Edit from the menu bar.

Tabs:

Main Details Tab

Product information:

Parent layer: Not used.

Product type: Product, selectable by clicking the Drop-down button. One of the following:

Warning: You cannot have an Upsell record with a product type of P linked to VHC usage.

Product code: RTS code, selectable by clicking the Ellipsis button.

Product description: Describes the Product.

Note: Product descriptions can be overwritten manually on Setup or by selecting Standard text if available, if a more meaningful description is required.

Fixed price: You can enter a Fixed price value, which is used in Point-of-Sale to override the standard prices for the selected Part, RTS or Menu-based upsell record.

VAT code: A tick in this box indicates a VAT-inclusive price (read-only).

Usage: One of the following, selectable by clicking the Drop-down button:

Warning: You cannot have an Upsell record with a usage of VHC linked to Parts product type.

Note: M (Main) and A (Additional) are only used in the Wip Wizard application. The V (Vehicle Health Check) option is used in the application of the same name. R (Remote Applications) must be selected when the use of mobile devices is required, for example PDA devices.

Service code: Service code, selectable by clicking the Drop-down button.

Note: This feature can be used to self-populate an RTS code when transferred to a Wip, from the Service code file.

Up-sell analysis code: Up-sell analysis code, selectable by clicking the Drop-down button. This code is required if the system is using Contact management for service booking, and enables greater statistical detail.

Note: Setting this field to TYR makes the Tyre link Tyres.ico button available, enabling you to define the VHC Tyre Measured values that are to be linked to Tyre positions.

Picture: .jpg or .gif file, which can be imported from the server, selectable by clicking the Ellipsis button.

Mandatory: When this check box is ticked, user entry of VHC text is mandatory. If ticked, you will have to update the text on a line before you can finish the VHC check.

Generic lookup: When this check box is ticked, generic lookup code used to group Upsell records together.

VHC measured values:

Note: Whether or not this group box can be displayed depends on which system you are using.

Short code: Unique Measured unit code, selectable by clicking the field and then clicking the Ellipsis button.

Description: Describes the Vehicle Health Check Measured value.

Type: Measured values type (Date, Number, String) as created during the Measure values setup.

Mandatory: When this cell is ticked, the Vehicle Health Check measured value is a mandatory requirement.

Group: If you assign a group letter (such as A) to a set of measured values such as tyre tread depths, then when the first measured value is assigned in the VHC record process this value is automatically copied to all the other measured values belonging to the group.

Filter Tab

Note: The fields on this tab are used to define the Upsell information display selection criteria in POS VHC recording and Contact management POS Upsell functionality.

Vehicle information:

Franchise code: Franchise code, selectable by clicking the Drop-down button. This code depends on imported data held in franchise data.

Model code: Model code, selectable by clicking the Drop-down button. This code depends on imported data held in franchise data (not from any manufacturer's file of the same name). Which codes are in the drop-down list depends on which franchise code is selected. If option to select all franchises is chosen, all model codes for all franchises will be displayed.

Variant code: Variant code, selectable by clicking the Drop-down button. This code depends on imported data held in franchise data.

Service model code: Service model code, selectable by clicking the Drop-down button. This code is used in the Service Point-of-Sale system to determine the correct allowed time for a specific operation.

Tip: If there are different times for the same operation in the same model range, and no code is found on the variant record, the CRM Vehicle record maintenance program will access this field on the Model record.

Selection - Age:

Note: Age: The last time (number of days) the product was sold on the vehicle loaded in Point-of-Sale.

Equals: Defines a selection parameter where the Type is to be equal to the entered parameter.

From: Defines a selection parameter where the Type is to be equal to or greater than the entered parameter.

To: Defines a selection parameter where the Type is to be equal to or less than the entered parameter.

Note: The From and To selection criteria parameters are used to define selection ranges.

Selection - Mileage:

Note: Mileage: The number of miles elapsed between the mileage of the vehicle loaded to a WIP using the Upsell record and the last mileage recorded on the vehicle.

Operand: Selection logic option criterion (either And or Or), selectable by clicking the Drop-down button.

Note: The And option means that both (or all) selection criteria must be met before the Upsell record will be selected or displayed. The Or option means that either selection must be met before the Upsell record will be selected or displayed.

Equals: Defines a selection parameter where the Type is to be equal to the entered parameter.

From: Defines a selection parameter where the Type is to be equal to or greater than the entered parameter.

To: Defines a selection parameter where the Type is to be equal to or less than the entered parameter.

Note: The From and To selection criteria parameters are used to define selection ranges.

Selection - Date:

Additional text/URL:

Option Buttons:

Additional text: Selecting this button enables the entry of additional Upsell text.

URL: Selecting this button enables the entry of a URL or file path name.

Additional Text Area

You can enter in the text box four lines of any additional notes to display when using the WIP wizard or Vehicle Health Check applications. Any additional text will cause an About About.gif button to be displayed. When you click this button, a pop-up box displays the text or URL entered in the Upsell additional text area.

VHC Tyres Details Form

This form is displayed when you define the Up-sell analysis code field of the selected Upsell Layer or Item on the Up-sell Structure form as TYR, and click the Tyre link Tyres.ico button. It enables you to maintain the Tyre link of an Upsell record.

Tyre Pos:

Tyre ID: Unique Measured unit code, selectable by clicking the Ellipsis button.

Copy *ILLEGAL* tag to VHC: When this check box is ticked, the VHC line condition code franchise for illegal tyre recorded in the General Point-of-Sale VHC Parameters is set to be copied to the VHC (Record form, VHC print).

Copy make to VHC: When this check box is ticked, the tyre make is set to be copied to the VHC (Record form, VHC print).

Copy depth to VHC: When this check box is ticked, the tyre depth is set to be copied to the VHC (Record form, VHC print).

Copy size to VHC: When this check box is ticked, the tyre size is set to be copied to the VHC (Record form, VHC print).

Copy cond to VHC: When this check box is ticked, the tyre condition is set to be copied to the VHC (Record form, VHC print).

Copy standard text to VHC: When this check box is ticked, the standard text is set to be copied to the VHC (Record form, VHC print).

Note: If all tyre details and multiple standard texts are copied to the VHC line, some of the text may be truncated.

Buttons:

Save: Accepts and applies the tyre position and copy options to the Upsell record.

Delete: Deletes the tyre position and copy options from the Upsell record.

Cancel: Cancels the assignment of the tyre position and copy options to the Upsell record.

VHC Menu Finder Maintenance Form

This form is displayed when, on the Up-sell Structure form, with the Item to be maintained selected, you select VHC > VHC Menu Finder or VHC > VHC Menu Finder Search from the menu bar or click the Menu Finder Legend.gif button. It enables you to maintain the VHC Menu Finder record.

Menu Bar and Toolbar:

File > Undo Undo.gif Cancels all the maintained VHC Menu Finder changes.
File > Exit Exit.gif Exits the VHC Menu Finder function.

Search definitions:

Upsell product type: The Product type taken from the selected Upsell record (either M for menu code or R for RTS code, normally read-only).

Product code: The Product code taken from the selected Upsell record (normally read-only).

Note: Normally Upsell product type and Product code are pre-populated as a result of the selection of an Upsell record. If you do not know the Upsell product type and Product code, selecting VHC > VHC Menu Finder Search from the menu bar on the Up-sell Structure form enables you to search for the Upsell product type and Product code manually.

Tabs:

Menu Tab

Franchise: Identifier for the installed Franchise.

Name: Name of the installed Franchise.

Selected: A tick in this cell indicates that the Franchise has been selected to have VHC Menu Finder criteria.

Tip: Click a blank Selected cell, associated with the Franchise you want to contain Menu Finder Search criteria, to select it. Click a selected (ticked) cell to deselect it.

Search start point: Menu Finder search start point for the selected Franchise and Product code.

Tip: Click a blank Search start point cell to enter criteria that will be used to filter franchise information based upon Menu and RTS codes. Click a populated Search start point cell to amend or remove the criteria.

Note: If the Franchise is selected and the Search start point is blank, the system assumes that a VHC Menu Finder search is required, and enables the manual searching of information.

Fixed: When this cell is ticked, VHC menu items attached to a WIP are displayed as a single line, otherwise a full breakdown of all the components in the menu is displayed.

Price code: Menu prefix code, used to limit menu searches within the VHC process. For example, setting a Price code of BRK means that only menus that are prefixed by BRK will be offered in menu searches for the Upsell record in question in the VHC process.

Labour Tab

Franchise: Identifier for the installed Franchise.

Name: Name of the installed Franchise.

Selected: A tick in this cell indicates that the Franchise has been selected to have VHC Menu Finder criteria.

Tip: Click a blank Selected cell, associated with the Franchise you want to contain Menu Finder Search criteria, to select it. Click a selected (ticked) cell to deselect it.

Search start point: Menu Finder search start point for the selected Franchise and Product code.

Tip: Click a blank Search start point cell to enter criteria that will be used to filter franchise information based upon Menu and RTS codes. Click a populated Search start point cell to amend or remove the criteria.

Note: If the Franchise is selected and the Search start point is blank, the system assumes that a VHC Menu Finder search is required, and enables the manual searching of information.

Units of Measure Form

Note: Whether or not this form can be displayed depends on which system you are using.

This form is displayed when, on the Up-sell Structure form, with the Item whose unit of measure you want to maintain selected, you select Item > Units of measure on the menu bar click the Units of measure Scales.ico button. It enables you to maintain the unit of measure of an Upsell record.

Unit of Measure Grid
