WIP Wizard

The Wip wizard enables you to create a WIP through CRM (Customer Relationship Management) module. This process can prompt you to ask questions allowing you to upsell options to a customer.

Note: Wip wizard can be accessed via CRM (Customer Relationship Management) or via the Links menu from the main Service Point of Sale form, when a vehicle and customer has been loaded. The options has to be switched on in User Access Control. You must also have Point of Sales access. No access to create wip's or use wip wizard is allowed from within point of sale unless point of sale is accessed via CRM wip wizard to point of sale when the Use wip wizard is ticked on point of sale operators record on the Other controls tab of POS Operators file in SO MISCELLANEOUS OPTIONS Menu.

To access Wip wizard from the menu select CRM and My desktop. Load a Customer or Vehicle that are linked together.

Note: If the customer and vehicle are not linked the Wip wizard will display the message Cannot access WIP wizard. No customer (vehicle) loaded.

Select the option my shortcuts and the Wip wizard icon . This will take you into the Point of Sale module. Depending on your access in Point of Sale you may need to select Parts or Service and your Point of Sale operator. The following screen is the start of the WIP Wizard screen and displays information from the CRM Case File.

PUSH BUTTONS:

The push buttons at the bottom of the Wip wizard remain throughout the process.

Back: This option will not be enabled on the first screen of the Wip wizard, but as you go through the Wip wizard process this button will allow you to return to previous screens.

Next: This option will take you to the next screen of the Wip wizard.

Casefile: This option will take you into the Case File.

Service History: This option will display any service history held against the selected vehicle.

Help: Display the current help application.

Cancel: This option will close Wip wizard and return you to the Service or Parts screen with the customer and vehicle loaded.

Note:If the option to Cancel is taken, you are able to re-access the Wip creation wizard from the Point of Sale form via the option available from the Links menu.

When the Next option has been selected the form will display the customer and vehicle details.

Customer: This field is not editable and displays the customer salutation from the CRM customer record.

Vehicle: This field is not editable and displays the vehicle registration number from the CRM vehicle record.

Account: This field will be populated from the POS account code held on the CRM Vehicle history tab on the vehicle record and is loaded to the Account code field of the POS form. Click on the to select a different account.

Phone: Click on the to view and select the phone number(s) held on the Customer record. You will not be able to type a phone number into this field.

Order number: This is a free text field where you are able to enter an order number if applicable.

Mileage: The mileage will populated from the vehicle history tab, field shown alongside the Date last work label of the CRM vehicle record. If the mileage is updated this will write back to the CRM vehicle record.

Service code: Click on the to select a Service Code. The service code description will be populated and may be amended as required in the next box.

Date/Time In: Enter the date and time that the vehicle will be arriving at your dealership.

Tip: Click on the ellipsis to view a calender and select a date. Also selecting the letter T on the keyboard will enter todays date.

Department: This field will be populated from your Terminal details, default department. If you have more that one department in these details the option to click on the to amend is available.

Select the Next button to continue where the form will display Loan car and Loyalty card details. The information is populated from CRM.

Loan car options: The Loan Car option is set up within CRM and can include messages to remind the service advisor to ask the customer certain details. Click on the to select an option.

Note: When Loan car is selected from the Loan car options the Courtesy car check box is checked on the WIP in the Workshop / Bodyshop tab in the main Point of Sale form. When the option Load is taken from the WL Launch control form the loan Vehicle Diary form will open for the user to book a loan or demo vehicle for the customer before booking the tasks into Workshop Loading.

Courtesy car group: This field is populated from the CRM customer record and is disabled from Wip wizard.

Loyalty card:

The Loyalty card information can only be held against either the Company, the Customer or the Vehicle record with in CRM.

Note:The Loyalty card option is switched on within CRM System Parameters.

Card type: You are unable to edit the field. If a card type has been entered either in the Company, the Customer or the Vehicle record then this field will be populated.

Card number:You are unable to edit the field. If a card number has been entered either in the Company, the Customer or the Vehicle record then this field will be populated.

Card expiry: You are unable to edit the field. If a card expiry date has been entered either in the Company, the Customer or the Vehicle record then this field will be populated.

Select the Next button to continue.

If there are any Loan address or instructions held within the Extra Details, Notes tab of the CRM Customer record they will be displayed and may be edited from the Instructions display. Click Save button for amendments to be updated against the CRM Customer record. Click OK button to continue to the next screen of the wizard.

If there are any notes entered against the loan car details they will be displayed. You will be unable to edit the notes. Click the OK button.

The Main operations form will be displayed. The options available to select are created through the Upsell records option within Point of Sale.

Description: Displays the full description of the option.

Price (excl. VAT): Displays the price excluding VAT that is calculated via information keyed in the labour rate codes, parts price information and Point of sale discounting tables for labour and parts.

Price (incl. VAT): Displays the price including VAT.

Last date: Displays the date this option was last invoiced for this customer.

Info: Click on the to display any further information.

Inc: Click into this field to include the option for the WIP.

Click on the Next button when all main operations options have been selected and the Additional operations form will be displayed. Options will only display if they have been created with an 'A' in the upsell records. Select any further options that the customer requires.

Click on the Next button and the final screen on the Wip wizard will be additional notes. Any notes entered will display on the wip as a text line.

Click on the Finish button and the wip will be created.
