Extra Details

The Extra details icon is displayed if switched on in User Access Control. The form displays additional information held about a Customer such as vehicle required, trade in, lifestyle, media or notes, enabling you to run reports and ad-hoc's. Further tabs are available for retaining finance information about the customer such as current and previous address's and employers and Bank details. When a customer had been loaded, information entered will display. This can be access from the top tool bar, customer options or by clicking on the icon. Details can also be entered into these forms from the showroom module if Qualification is switched on in sales persons settings.

The form has five tabs that are headed as follows:-

The Company menu and tool bars remain the same regardless of the tab you are in. If you wish to learn about the menu or tool bar follow the links below.

Note: If no extra information has been entered against a customer then a message is displayed: This customer does not have any extra details. To enter information against a customer you must be in edit mode, select the icon or option from the top tool bar and a message is displayed: Create an extra customer details record? Yes or No. Select Yes and you are able to enter details, select No and you are returned to the customer record.

Vehicle required

Vehicle:

Note: Clicking on the enables you to select an option. These options are set up in Franchise date. The options available can also be selected by entering the first letter, so entering F will select Ford if this is the letter identifier set up within your franchise date.

Franchise: Select the franchise the customer requires.

Model: Select the model the customer requires.

Variant: Select the variant the customer requires.

Description: Enter the description of the vehicle the customer requires. This field will be populated if you have select the Franchise, Model and Variant using the .

Colour: Click on the to select the colour of the vehicle the customer requires.

Trim: Click on the to select the Trim of the vehicle the customer requires, for example Cloth.

Factory options: Enter any Factory options of the vehicle the customer requires, for example Electric sunroof.

Body style: Enter the type of vehicle the customer requires, for example Saloon.

Fuel type: Enter the Fuel type of the vehicle the customer requires, for example Petrol.

CC range from: Enter the lowest engine size of the vehicle the customer requires, for example 1100.

CC range to: Enter the highest engine capacity of the vehicle the customer requires, for example 1600.

Price range from: Enter the lowest price the customer would consider paying for a vehicle, for example £5000.

Price range to: Enter the highest price the customer would consider paying for a vehicle, for example £9000.

Doors required: Enter the number of doors the customer requires.

Transmission: Enter the transmission of the vehicle the customer requires, for example Automatic.

Preferred MVRIS code: Enter the numeric or alpha code provided by the DVLA, which refers to the emission code.

Registration no: Enter the registration number of the vehicle that the customer requires.

Minimum mileage:Enter the lowest mileage that the customer would consider on a vehicle.

Maximum mileage:Enter the highest mileage that the customer would consider on a vehicle.

Vehicle type:Enter New or Used.

Year required:Enter the year of the vehicle that the customer requires.

Finance:

Payment method: Enter the method that the customer will be purchasing the vehicle, for example Cash.

Monthly budget: Enter the amount that the customer wishes to spend each month.

Period of loan: Enter the number of months the customer will take the finance over.

Deposit: Enter the amount the customer will provide for a deposit.

Finance rate:Enter the finance rate you are offering the customer.

Enquiry:

Note: If the ellipse is selected on any date field a calendar will display, select the date you require and exit, the date box will be populated.

Enquiry date: Enter the date of the Enquiry.

Purchase type: Enter the purchase type, for example Private or Company.

Required from: Enter the date that the customer requires the vehicle from.

Required until: Enter the date that the customer requires the vehicle until.

VSB vehicle:

Co/NU/Vehicle: This shows the Company number, New or Used vehicle type and the Vehicle stock number of a prime vehicle that has been accepted into VSB from a Showroom order. This information is not editable if a Showroom orders are being used, otherwise it can be updated manually.

Tip: The Vehicle required and Trade-in details are recorded when a Showroom enquiry is used the information is only valid until the vehicle is invoiced, we then prompt the user to either clear or retain the information.

Trade-in

Trade-in:

Trade-in search: Click the ellipsis [...] to search for an existing trade in vehicle.

Tip: If entering a registration directly without using the ellipsis button you will need to use the Return button on your keyboard and not the Tab button.

Registration: Enter the vehicle registration number, this can be populated by a the trade in search or can be entered manually but does not have a search option included on this field.

Franchise: Select the franchise of the trade-in vehicle.

Model: Select the model of the trade-in vehicle.

Variant: Select the variant of the trade-in vehicle.

Description:Enter a description of the trade-in vehicle. This will be populated from when the variant has been selected but can be amended.

Date of registration:Enter the registration date of the trade-in vehicle.

Mileage: Enter the mileage of the trade-in vehicle.

Value: Enter the value of the Trade-in vehicle.

Offer price: Enter the price offered to the customer for the trade-in vehicle.

Date of offer: Enter the date that the customer received the trade-in offer.

Existing Finance:

Type: Select how the trade-in vehicle has been funded, for example PCP.

Period of loan: Enter the period of loan of the trade-in if applicable.

No of payments already made: Enter the number of payments the customer has already made on the trade-in vehicle if applicable.

Amount borrowed: Enter the amount the customer borrowed to fund the trade-in vehicle if know.

Cost to settle: Enter the settlement figure of the trade-in if known.

Enquiry:

SR company: The Showroom company number is populated when a Showroom enquiry is saved.

SR quote magic:The Showroom Enquiry number is also populated when a Showroom enquiry is saved.

Expected date into stock: Enter the date the trade-in will be in stock.

Appraisal exec: Select the sales executive that appraised the trade-in.

Sales manager: Select the Sales manager.

Note: The options available from the in the Lifestyle tab are set up in System maintenance, Extra Look Up Maintenance.

Lifestyle

Customer:

Marital status: Select the marital status of the customer, for example Single.

Customer group: Select the group of the customer, for example Retired.

Demographic Code: Select the demographic code for the customer, for example No children.

Age range: Select the age range of the customer.

Buy cycle: Enter the number of months that will elapse before the customer purchases another vehicle, for example 36.

Family:

Number of dependents: Enter the number of dependant's of the customer.

Number of vehicles: Enter the number of vehicles that the family current drive.

Family income: Enter the family income if know.

Interests: Double click on the grid to display the list of Interests of the family. You may select up to 10 interests.

Hobbies: Double click on the grid to display the list of Hobbies of the family. You may select up to 10 interests.

Partner:

Customer search: Enter the surname of the partner if know, or click on the ellipses to search for the partner.

Title: The title field will populate when a partner has been selected, however you can enter the partners title, for example Mrs.

Initials: The Initials field will populate when a partner has been selected, however you can enter the partner's initials if known.

Surname:The Surname field will populate when a partner has been selected, however you can enter the partner's surname.

Button: Children Click on the Children button, you will be able to add by right clicking on the Magic/Name line and searching for the children's record. To remove any lines right click the line and select Remove.

Media

Internet access: Click the radio button Yes if the customer has internet access and No if the customer has not got access to the internet.

Listens to radio: Click the radio button Yes if the customer has listen to the radio and No if the customer does not listen to the radio button, this will enable the Radio Stations option.

Radio Stations: Enter up to three radio station that the customer listens to.

Weekend Papers: Enter up to three Weekend Papers that the customer reads.

Daily Papers: Enter up to three Daily Papers that the customer reads.

Local Papers: Enter up to three Local Papers that the customer reads.

Other Media: Enter up to three Media options that are relevant to the customer.

Notes

Notes: Enter any extra notes that are relevant to this customer, these notes are not to be confused with the notes icon and can only be displayed through the Extra details option.

Loan address or instructions: Loan vehicle address or instructions. This is used in POS to record the customer's loan or collection address details

Delivery address or instructions: Loan vehicle or delivery address or instructions for the customer's service vehicle requirements.

Note: The Residential, Employment Bank/Finance tabs will only display if Extra2 has been selected in User Access Control.

Residential

Current Residential Details: This will display the current address of the customer and can be amended by clicking into the box. The Current Residential Address form will display. This form contains fields for information required by finance companies. Any amendments will write back to the customer details.

Previous Residential Details: This will display the previous address of the customer and can be amended by clicking into the box. The Previous Residential Address form will display. This form contains fields for information required by finance companies. These fields require to be entered manually and are not written back from anywhere.

Status: Select one of the following hard coded options to reflect the customer's household status. 1= Owner, 2 = Unfurnished tenant, 3 = Furnished tenant, 4 = Living with parents.

Commence Month: Click on the to select the commencement month of the customer's current or previous address.

Year (YYYY): Enter the year (for example 2001) of the customer's current or previous address.

Employment

Current Employment Details: The company number in the current employment details cannot be edited. Details of the company number name and address are populated when the customer is linked or de-linked with a company.

Previous Employment Details: The company number in the previous employment details can be entered. Click on the to search for a company. When a company has been loaded the previous employment address form will be displayed where details required by the finance company can be entered.

Current Status: Select one of the following hard coded options to reflect current employment status of the customer: 1 = Full time employment, 2 = Part time, 3 = Self employed, 4 = Student, 5 = Housewife, 6 = Retired, 9 = Unemployed.

Commence Month: Click on the to select the commencement month of the customer's current or previous employment.

Year (YYYY): Enter the year (for example 2001) of the customer's current or previous employment.

Bank/Finance

Bank Details:

Sort Code: Enter the customer sort code in the correct format, for example 14-15-12.

Account Number: Enter the customer's account number in the correct format (8 numeric digits).

Account Name: This will be populated with the customer's salutation but can be amended to the customer correct account name.

Customer Type:Click on the to select one of the following hard coded options: 1 = Private 2 = Limited company 3 = Partnership, 4 = Sole trader, 5 = Other.

Commence Month: Click on the to select the commencement month that the customer opened this bank account.

Year: Enter the year (for example 2001) when the customer opened this bank account.

Other Details:

Previous Surname: Enter the customer's previous surname if applicable.

Other Firstnames: Enter any other first names for the customer.

Previous Occupation: Click on the to select the customer's previous occupation.

Credit and Finance cards:

Card 1 to 10: Click the select any credit and finance cards the customer retains. The codes are standard data.

Save

Allows you to save the customer's extra details after changes have been made in edit mode.

Exit

Allows you to exit customer extra details and return to the customer record.

Allows you to view help on the current application.
