Multi-Currency Exchange Rates

These procedures are part of Vehicle Multi-Currency Menu in Manufacturer Systems.

When you have the X3 product for vehicle multi-currency management installed (X3 VEHMCUR), there are two exchange-rate tables: one in core and one in franchise specifics. This program synchronises them. So whenever a new exchange rate is added to the franchise-specific table, the exchange rate in the core table is automatically updated.

At the same time, you cannot amend the exchange rate in the core currency-table via the core functionality in Nominal Ledger > Bank & currency options > Currency exchange rates or NL Add/modify currency codes [and rates]. You must instead access this Multi-Currency Exchange Rates form, via MS Vehicle Multi-Currency Menu. You can, however, still add or delete a currency code in NL > Add/modify currency codes.

Note to System Administrators: For system maintenance and security purposes, the content and function of some tables require an access priority of 9. Information regarding Priority 9 functions is normally restricted. If you require assistance, please contact Autoline Software Support.

Setup

Note: Before you use the program, you must ensure that the Autoline system is set up correctly. This is normally carried out by, or on advice from, an Autoline consultant. Consultants should refer to the handover document.

Multi-Currency Exchange Rates Form

This form is displayed when you click Manufacturer systems > X3 from the Autoline Master Menu then Vehicle multi-currency > Exchange rates. It enables you to view, create, amend, and delete, exchange rates.

Note: With the MS X3 product for Vehicle Multi-Currency management installed (X3 VEHMCUR), you cannot amend the exchange rate in the core currency-table via the core functionality in Bank & currency options > Currency exchange rates or NL Add/modify currency codes [and rates]. If you try to do so, hover text will send you back to this form!

Details:

Currency code Drop-down : If a new currency code has not been added to the the multi-currency (vmccr) file, you have a chance to create it by selecting the currency code in the drop-down list.

Date effective: When a new exchange rate has been saved, the effective date is set to the current date, and the exchange rate is updated to the new one.

Exchange rate: Exchange rate of the selected currency.

History:

The history of the exchange rate is shown in the History grid, and sorted in descending order.

Viewing, Creating, or Editing, an Exchange Rate

Whenever a new record is added or amended in the X3 exchange-rate interface, the exchange rate for the currency code in question is updated in the NL.curcy file to be the same as that for the X3 exchange-rate record.

To access the exchange-rates form:

  1. From the Autoline Master Menu, click Manufacturer systems X3 > Vehicle multi-currency > Exchange rates, then select an NL company.

    If the vehicle multi-currency exchange rate table does not exist, it is auto-created. However, if that is not possible, the following error message is displayed, and the exchange-rates interface is not opened:

    Unable to open file X3.MS.vmccr.00/ OK

  2. When you have chosen the NL company, the Multi-Currency Exchange Rates form is displayed.

Viewing an Exchange Rate

To view an exchange rate:

  1. From the Autoline Master Menu, click Manufacturer systems X3 > Vehicle multi-currency > Exchange rates, then select an NL company.

    The Multi-Currency Exchange Rates form is displayed.

  2. Select a currency code from the drop-down list Drop-down.

    The history of the exchange rate is shown sorted in descending order in the History grid.

Creating an Exchange Rate

To create an exchange rate:

This program normally adds a vmccr record when the NL Add/modify currency codes [and rates] option is used to create a currency code. If the new currency code has not been added to the vmccr file, you can create it by selecting the currency code in the drop-down list Drop-down. The currency code that exists in NL.curcy but not in the vmccr file, causes the following message to be displayed:

Do you want to create the currency code [code]? Yes/No

  1. Click Yes to create the currency record.

    The form is displayed in Edit mode.

    You can only edit the Exchange rate. The exchange-rate default is that found in the core (NL.curcy) file.

  2. You can change the exchange rate if you want.

  3. Then click either the Save toolbar button to save the record, or the Cancel toolbar button if you decide not to save the record.

    If the record is saved, the History grid is updated.

Amending an Exchange Rate

To amend an exchange rate:

  1. On the Multi-Currency Exchange Rates form, view the exchange rate to be amended, then click the Amend toolbar button Edit.gif

    The Exchange rate is now editable.

  2. When the new rate has been entered, you can click either the Save toolbar button to save the change, or the Cancel toolbar button to abandon the change.

    After saving, the Effective date is set to the current date, and the Exchange rate is updated to the new one. The new exchange rate is added to the top of the list in the History grid.

Adding a Currency Code via NL Add/Modify Currency Codes

To add a currency code:

  1. Access Nominal Ledger > Bank & currency options > Add/modify currency codes.

  2. Adding (Creating) a currency code here adds a record for that currency code in the vmccr file. The code is added to the multi-currency (vmccr) file with the same exchange rate (the Effective date being the current date), and its history created too.

    You can then see the code in the drop-down list Drop-down of the Multi-Currency Exchange Rates form, and its history in the grid.

Deleting a Currency Code via NL Add/Modify Currency Codes

To delete a currency code:

  1. Access Nominal Ledger > Bank & currency options > Add/modify currency codes.

  2. Deleting a currency code here removes all records for that currency code in the vmccr file.

    The code shown in the multi-currency interface has its history deleted, and cannot be seen in the drop-down list Drop-down of the Multi-Currency Exchange Rates form.
