Bank Transfer/Currency journal

The Bank transfer/Currency journal option is the method by which bank journals are controlled, to transfer monies from foreign currency bank/control accounts to sterling bank accounts and vice versa. The entry style of the journal, and the title of the option itself is dependant on the System Parameter that dictates single line grid, double line grid or default journal entry- if single or double line grid entry are used, the menu option entitled "Control Account Journal" is hidden, but it is not hidden [and is indeed a different option to the Bank Transfer option] if using the Default journal entry style. For this example, the single line grid entry is used.

To complete a bank transfer:

  1. From the Autoline master menu select the Nominal Ledger option and the company you require.

    Select the Bank & currency options option.

  2. Select the Bank transfer/Currency journal option.

  3. The Bank Transfer/Currency journal form is displayed.

Posting date: Dependent upon system parameters, this can either be system date (today's date), end-of-period or blank for the user to enter. This is the date that the journal will be posted to the Nominal Ledger. Use the button to aid the search for the relevant date.

Use table rates: Leave this check box unset for No and the transfer will accept and post the base value of any currency amount entered. A comparison will be made with the rates table and variances shown for information only.

Journal ref: This is a ten-character field where an appropriate reference can be input to aid audit trails. This reference will default onto each individual transaction for further reference.

Completing the journal

Account: Enter the bank account or control account code to which the transaction refers. Valid account codes may be viewed and selected by clicking the button . When this button is clicked, the user is presented with all the NL bank account codes, and a short name search is available here to speed up the search.

Description:The description that corresponds to the relevant account that has been selected is populated once the account code has been entered.

Suffix: Enter the appropriate suffix if the account is a suffix controlled account. There will be a look-up facility if the expense code has one. Use the button to aid the search.

Currency Amount: Enter the currency amount. This must be non-zero. For example, using a USD bank account on a UKL Nominal Ledger, you would enter 150 if the currency amount is 150 Dollars.

Base Currency: Enter the base currency value. This column heading is dynamically the description of the system base currency. For example Sterling will be displayed at the top of the grid if the base currency of the Autoline set-up is UKL. If an entry is made into the Currency field, the Base [Sterling in this example] amount will be shown, using the exchange rate to arrive at the correct figure. In our example, 150 dollars converts to 100 Sterling at an exchange rate of 1.5 dollars to the pound. In the same way, by just entering the Base [Sterling] field, the Currency amount will be calculated.

Currency difference: This field shows the value in sterling which will be written to the currency difference suspense account if there is a discrepancy between the base and currency amounts in terms of how they are calculated, for example 150 Dollars would be 100 Sterling if converted at 1.5 Dollars to the pound, but if the Sterling amount was entered manually as 99, the difference field would be populated with "1".

The right hand side of the grid [entry fields coloured red for credit entries rather than blue] will contain fields for Currency, Sterling and Difference, as before, but will also show the Suspense account: for currency differences. This is automatically determined from the Currency difference control account entry contained in Posting Journal entries , so it will differ depending on the account entered. No postings are made, it is more of an indicator. It IS used in Currency Revaluation in terms of posting.

SL/PL Reference: An optional reference that relates to the SL/PL account that the source document related to.

OTHER FIELDS:

Curr hash total: This field holds the running hash total of the currency amount values. It ignores the type of currency and only adds as a running total.

Balance: This field holds the running journal total, in the base currency. For example, if the hash total was 200 [made up of 100 YEN and 100 UKL], the balance total in this example is 166.67 [100 UKL and 66.67 UKL equivalent of YEN] As with all journal entries the balance must be zero before a journal may be posted.
