Ending a Current Period and Advancing the Purchase Ledger Period

The End current period option on the PL MISCELLANEOUS OPTIONS Menu performs the tasks which ensure the correct alignment of periods between the Purchase Ledger and the Nominal Ledger at period ends.

Advancing the Purchase Ledger period is an exclusive access option. Access must be prevented to the Purchase Ledger and Purchase Control if invoices are being verified. If the Purchase Ledger is not in exclusive-access mode, the following message is displayed:

Unable to lock module (PL\**)

where the asterisk denotes the company number. The Advance period option is unavailable.

Note: Prior to running the End of period, Accounting Periods should be consulted for more background information.

To end a period in Purchase Ledger and advance the Purchase Ledger period:

  1. From the Autoline Master Menu, select the Purchase Ledger option and the Company you require.

    The PURCHASE LEDGER Main Menu is displayed.

  2. Select Miscellaneous options.

    The PL MISCELLANEOUS OPTIONS Menu is displayed.

  3. Select the End current period option.

    The End Current PL Period form is displayed.

  4. Perform all necessary checks.

    The Advance button is enabled.

  5. When you are sure you are ready, click Advance.

    This advances the Purchase Ledger period.

End Current PL Period Form

This form is displayed when you select Miscellaneous options from the PURCHASE LEDGER Main Menu, then the End current period option. It enables you to end a period in the Purchase Ledger and to advance the Purchase Ledger period.

PUSH BUTTONS:

Exit: Returns you to the PL MISCELLANEOUS OPTIONS Menu

Help: Displays help on the current program using the default company browser

Advance: Advances the period

Note: It is not possible to advance the period if there are any users accessing the module. (This is similar to the End of period for the Nominal and Sales Ledgers, and requires all other users to exit the module prior to the stand-alone user, to advance the current period.)
