What do you want to do?
To create a new order line:
From the main Purchase Control form, select File > New line or click the New line button.
A blank Purchase Transaction form is displayed, enabling you to create new order lines manually.
Enter the purchase order number if you know it or search for it by supplier account code if you do not.
An order number is allocated.
Enter the part number using the normal search facilities on the stock file if needed. The balance of the details may now be updated if required, and information such as the quantity, pricing details, expected delivery date, bin location and any free text can be entered as required.
If telephony is installed, click the telephone button to dial the telephone number of the supplier entered. The telephone number being dialled is briefly displayed.
To receive a new order line:
From the main Purchase Control form, right-click the St (current state) column for the required order line and select Edit.
A Purchase Transaction form for your selected order line is displayed, enabling you to edit the details as required.
This form is displayed when you select File > New line or click the New line button on the main Purchase Control form, or right-click the St (current state) column for an order line and select Edit or Receive. It enables you to create or receive a new order line manually.
Order:
Number: Order number
Supplier: Supplier account number
Name: Account name as defined in the supplier details
Type: Defines the type of order
Buttons:
Accept: Confirms that the data in the Order group box is correct
Company: Displays CRM record for the supplier if one exists (button is displayed if a link to CRM is available)
Controls:
Buttons:
Cancel: Exits the Purchase Transaction form without saving any changes, and returns you to the main Purchase Control form.
Help: Displays this help topic in your default browser.
Part:
This field is available only when you have selected the Edit or Create options, not Receive.
Text box: Part number, followed by its description
Button:
Info: Displays additional text from the part record
Note: This button is not enabled if no additional text exists on the part record.
Detail:
Quantity required: Quantity on order
Note: If the quantity is increased and it is attached to a WIP, then you find you need to change it down, you will not be allowed. The process here has to be to receive the correct quantity and set the to follow quantity to 0.
Discount code: Discount code for this part, followed by the discount percentage (uneditable) linked to it
Date required: Date order is required by
Retail price: Retail price from the stock record
Cost each: Cost derived from the discount percentage
Surcharge each: Surcharge cost of sale, followed by sale of surcharge value
BIN location: Location of the part, derived from the stock record
Remarks: Free text field for remarks relating to the order of this part
Free text 1 and 2: Free text input in Point-of-Sale when a part is put on order
Button:
Save: Writes the transaction to the appropriate file and refreshes the form for the input of the next order line.
Note: This button is enabled only when you are creating a new part order.
GRN:
Warning: With the exception of Invoice, all the fields in this group are mandatory.
Number: Goods Received Note number from the supplier
Sequence: Number of the part's position on the GRN
Date: Date when the part is received or the date of the GRN
Received: Quantity of part received
To follow: Difference between Quantity required and Quantity received
Invoice: Invoice number, enter it if available at time of receipt. This must be populated if quick verify and post is to be used.
Button:
Receive: Confirms the receipt of the part and writes the transaction to the appropriate file.
Note: This button is not enabled until there is valid data in all the mandatory fields.
