The Purchase Control module allows you to submit generated stock orders. When you submit a stock order, the system creates a UNIX file on the AUTOLINE system from the order that you select.
Tip: The options and prompts may vary slightly from Franchise to Franchise so this help file should be used for general guidance only.
To submit a stock order:
The PURCHASE CONTROL Menu is displayed.
The Submit stock order form is displayed.
The Submit stock orders form is displayed when you select the Submit stock order option from the PURCHASE CONTROL Menu. From this form you can submit stock orders.
The system displays the purchase orders that are available for submission in order number sequence, latest first. Each Order number is displayed followed by the Supplier account number, Dealer reference and Transfer reference relevant to each order.
Manufacturers code: Enter the Manufacturer code required, for example SA or FO
Tip: If you are unsure of the code, select the drop down menu facility, adjacent to the Manufacturer code field and select the correct code from the list offered.
Order no: Enter the Purchase Order number for submission. If more than one order number is selected for submission they must be of the same account and be the same order type to be valid for submission.
Tip: A search of the Order number is available click the Ellipsis button
to invoke. On selection of the correct supplier account code a list of order numbers is displayed.
Note: If the ability to submit orders electronically exists,then the submit option should only be taken from a PC that supports both Autoline and supplier software.
PUSH BUTTONS:
Exit: Returns you to the main Purchase Control Menu.
Help: Displays help on the current application in your default company browser.
Submit: Submits the order to a UNIX file.
Warning: The same filename is used each time a stock order is submitted. Therefore, if a stock order file already exists, the system displays the following message: ../xfer/$$.stord.** (where$$ is the Manufacturer code and ** is the stock company) and gives you the option to Overwrite, Move or Append the existing file. You will normally (providing the order has been submitted to your supplier) select the Overwrite option which replaces the last submitted order with the new order.
Select the Overwrite option.
The system starts to download the selected order to a UNIX file. When the submission is complete, the system displays how many lines were submitted in the order.
What happens to the UNIX file now will depend on what link(s), if any, you have with the manufacturer/supplier.
Direct communication with your manufacturer may be possible and enquiries regarding this should directed through support personnel.
