Allocations Tab

The Allocations tab is displayed as a grid but still shows the following detail from the Cash Paid form: Supplier account code and name, and the Nominal Ledger account code of the bank account being used. Additionally the unallocated cash controls are also displayed. These values change in the course of posting to provide a running check on the postings for the accounts. You cannot complete a particular cash posting until all the unallocated controls are at zero. If you want to exit the process before this is the case, the transaction must be cancelled to exit the procedure.

The session run total is also displayed at the top of the form expressed in the base currency of your system.

In the grid on the Allocations tab, the system displays the following information for all outstanding amounts in relation to the account code entered in the Header tab.

Previously paid items are also displayed if you have ticked the appropriate box on the Header tab.

The first (S)tatus column and the Payment column hold the actual changes made in the course of cash allocating. These changes remain provisional in the cash allocating as a whole until a Post option is selected. Any provisional allocations made can be reset by clicking the Clear button in the Post group above the Allocations grid.

The second (S)tatus column indicates the current status of the documents being displayed. S signifies the transaction is on Stop, and I means that the Invoice Register process is incomplete, meaning that the transaction must be freed for payment before any allocations can take place.

The transactions you want to see in the Allocations grid can be restricted by searching or filtering the transactions. This is achieved by the use of the Search buttons.

Cancel Button: This button cancels the Allocation Filter form and returns you to the Allocations tab.

Reset Button: This button resets any dates already entered in the Allocation Filter form, however it leaves you in the form to set other dates.

SEARCH BUTTON:

When you click the Search button, a Transaction Selection form is invoked. On this form you can set search criteria of one or several of the following fields: Supplier reference, Misc reference, Document number, Document date and/or Amount. When you have set your criteria, click the OK button. Autoline searches for those transactions that match your criteria on the currently selected account, and returns you to the Allocations grid highlighting the matched items in red and selecting the first matched item. If there is more than one matching item, the Find Next button is enabled and, by clicking on it, you are moved to the next matching item. When you have moved to the next item, the Find Previous button is enabled, thus allowing you to freely move amongst the matching items. The Find Next and Find Previous buttons are enabled and disabled dependant upon whether there is a next or previous item.

ALLOCATION BUTTONS:

The remaining buttons on the bottom left-hand side of this form are all connected to the actual allocation of the value being received into the selected account. As you use these buttons or the alternative hot keys to allocate against transactions, the Unallocated control values are affected. Click an item within the grid to start allocating.
