Certain tasks should be performed on the system at the end of the month; some of those may be incorporated into the regular End-of-Day routines. You should discuss these options with support personnel if you want them to be run as part of the Timed Operations schedule.
Advancing the Period Demand is normally actioned at month end and is used to shuffle the sales history quantities shown in the Requests and Units columns on the Demand tab of the stock record. Failure to run this program will result in an apparently high demand for the stock during the current period. Taking the option too frequently will have the reverse effect and may show what would appear to be a low demand for the period.
The option to Generate the max/min levels held against the stock card uses the average monthly demand figure in its calculation of max/mins, and is also responsible for recalculating the average demand figure when it is run. Running the option too frequently may distort these values by being over or understated with freak demands. Neglecting to update the max/min stocking levels will result in incorrect recommendations of stocking levels being held against the stock record. This program is run as part of the End of Month routine. If a printout of the End of Month process is required during the month, this is achieved by running the End of month report option on the SM REPORTS AND ENQUIRIES menu.
When this program is run, the system will scan all parts and move the current month Request history and the current month Units history down by one on the Demand tab of the stock record.
Note: The date the period demand was advanced is not shown as a field on the stock record.
Current demand history and previous demand history will only represent one month at a time if the Advance Period Demand program is run every month.
The system does not use these figures to calculate Average Monthly Demand.
This program should be run as part of the End of Month routine. The purpose of this program is to automatically generate the max/min stocking levels of the parts on file. Running this program on a regular basis helps the system to maintain the correct stocking levels, as the max/min levels are used as part of the recommended stock order calculation.
When this program is run, the following values are updated on the Demand tab of the stock record:
The Average demand of the part is recalculated.
The date of the last max/min run is updated.
The minimum stock and maximum stock stocking levels are updated.
Demand since: The demand since last max/min run is reset to zero.
For full details of the calculations involved, see the topics Calculation of Average Monthly Demand and Max/Min Calculation.
Note: If a part is too new to have had a previous max/min update, the system only sets the max/min date on the first run. Therefore, it is recommended that max/min levels are set against new stock lines using Stock file maintenance.
