This option is particularly useful in situations where a central warehouse is linked to several POS companies, and orders are raised for parts on the central warehouse stock. In this case, a telesales team may take initial orders from customers, enter the information onto a WIP and print picking slips either by actioning the WIP in the normal way in Point-of-Sale or via the Picking note option in the Batch print documents program. A different team of people may then pick the parts from the warehouse, and return the picking slips to someone at a central point who is responsible for confirming the quantity of parts picked from the warehouse.
The Confirm picking note option allows you to enter the exact quantities of parts picked from the warehouse, automatically decards parts from stock and produces advice notes on mass. When you confirm the quantities picked, the system checks to see if parts were ordered electronically via dealer imports and, if so, produces two files dadvh (header) and dadvl (lines) from which an advice note file can be populated and exported from the Autoline system ready for transmission to the dealer.
If you are unable to supply all the parts, the system performs a split as per normal Point-of-Sale operation. For example, if the dealer ordered 10 parts but there were only 4 in the bin, the system creates two lines on the WIP when you confirm the quantities; one for the 4 picked parts, which is set to status P and a backordered line for the 6 unpicked parts, which is set to the status Default backorder status field on the Other tab of the Edit customer details record if there is one, otherwise, the status is set to the value held in Status if not field on the Parts 2 Tab of the Flags-Priorities POS parameters.
If you are unable to supply any parts and enter a quantity of 0 (zero), the system will set the status held in the Edit customer details record if there is one, otherwise, the status is set to the value held in Status if not field on the Parts 2 Tab of the Flags-Priorities POS parameters.
To confirm a picking note:
The POINT OF SALE menu is displayed.
Select the Confirm picking notes option.
The Confirm Picking Notes form is displayed.
Enter the Picking note number and press the TAB key.
Tip: Click the Ellipsis button to search for a picking note.
And / or enter the WIP number/line and press the TAB key.
In the Confirm Qty column, enter the quantity of each part picked from the warehouse.
The Confirm Picking Notes form is displayed when you select the Confirm picking notes option from the POINT OF SALE menu. From this form you can confirm the quantities of parts picked from the warehouse which automatically generates advice notes on mass.
Controls:
Picking note number: Enter the picking note number or click the Ellipsis button
to search for a picking note.
WIP number/line: Enter the WIP number or click the Ellipsis button
to search for a WIP number. Following the entry of a WIP number you may enter the line number of the part from a WIP if you are interested in looking at just one item on a very large picking note.
Note: The Batch print documents program allows you to consolidate documents into one piece of paper. In this case, one picking note number is generated for stock and VOR orders for the same dealer AND account number.
PUSH BUTTONS:
Confirm: When you have entered the quantities picked from the warehouse, click this button. This action updates the WIP line, and sets it to Invoice status.
Exit: Returns you to the POINT OF SALE menu.
Picking lines:
For each line on the WIP, the following details are displayed. Within this group box, the quantities on the original picking slip are displayed. You must confirm the quantities picked from the warehouse.
WIPNo: The Work-in-Progress record number.
Line: The line number on the WIP against which the part was entered.
Part No: The unpacked part number.
Description: A description of the part.
Order Qty: The order quantity entered on the WIP.
Confirm Qty: The system automatically defaults the order quantity into this field. Enter the exact quantity picked from the warehouse.
