Quote Details

The Quote Details are displayed when you select the Amend option and then the Other Details option in the Final Summary / Enquiry Builder.

Tip: Some of these options many not be enabled or editable if using VSB or MKV modes.

Miscellaneous Quote Information

The enquiry number is allocated after the enquiry has been opened. Only after a quote and or order have been printed are fields populated.

Enquiry: Unique number given to each enquiry.

Quote: Quote number given to printed quotations.

Order: Order number generated when customer orders the vehicle.

Previous enquiry: Any previous enquiry number, if the original enquiry has been re quoted.

Main details

Sale type: Click the [...] to obtain a list of relevant codes, used for profit analysis and can be set to default with required sales type from system parameters. This is Mandatory if using MKV mode as the sales type will define the entries made into the nominal by the Posting Tables .

Document date: Enter the date the quote was raised. Click the Ellipsis to search a calender

Delivery date: Enter the date the vehicle due to be delivered to the customer. Click the Ellipsis to search a calender

Registration no: Only if a Showroom order has been produced and a registration number entered will this option be displayed and will not be editable.

Tip: The registration number can only be added when printing a Showroom order. After an order has been printed this option is not editable. If you need to change the registration the order must be recalled and changed using the recall routine.

Notes: Enter any relevant notes for the enquiry / quote.

Note: Notes entered only relate up to the stage of confirming the order and are not populated in any other modules.

Expiry date: Enter the Expiry date for the quote. Click the Ellipsis to search a calender, Default date comes from the retention periods in system parameters.

SL Account: Enter the Sales Ledger account for the company you are quoting to or click the to search accounts.

Finance SL acct: Enter the Finance Sales Ledger account of the company giving the finance or click the to search accounts.

PL account: Enter the PL account for the company you are buying the Part exchange vehicle from or click the to search accounts. This option is only used in Marketing Vehicle Stocking only.

VAT registration no: Enter the customers VAT registration number. Not mandatory.

Commission no: Enter the commission number. Not mandatory.

Sales order reference: Enter the Sales order reference for the quote. Not mandatory.

Purchase order reference: Enter the Purchase order reference for the quote. This will be defaulted as the Part Exchange vehicle registration number, but can be over typed.

Tip: Whenever you see a [...] for a date field by entering "T" in the field todays date will be populated.

Deposits taken

At this point of the form it is possible to add a deposit that has already been received.

Unique reference Amount of deposit Amount of VAT if vatable deposits is taken.

Tip: Up to five deposits can be allocated against one order in MKV mode and three in VSB mode.

If any deposits have been received, you can click on one of the [...] buttons. This will display any unallocated deposits. By clicking on one of the deposits and clicking on the OK button the deposit will be allocated against the enquiry.

Doc Num: Document number of the deposit.

Name Name of customer pulled from CRM Customer or company number on the deposit.

Method: Method of payment e.g. Visa or Cash

Misc Ref: A free text reference added at point of creating deposit.

Total: Total deposit price.

VAT Deposit: The VAT amount.

Deposit reference: The reference added when the deposit was taken.

Tip:If a deposit is allocated by mistake, click the [...] button again and it will be unallocated.

Buttons:

OK: Applies the Quote Details information.

Cancel: Returns you to Final Summary / Enquiry Builder form.
