Not all printers have associated spoolers but spoolers are always associated with existing printers. For instance, you can select a printer which is directly linked to a device for printing, without it going through the Autoline spooling process. However, it is most common for prints to be spooled, so the user selects a printer from the menu (set up in Printer Map) and that printer is linked to a spooler (set up in Spool Configuration) which queues up the print jobs (see Spool Queue Control) for the networked printer or Print Manager. For example, printer SPOOL221 uses spooler 221.
Users can only select a printer from Change Printer if their Location on the User Details (Personal tab) matches one of the Available Locations in that printer's Printer Map.
Every time you use the Print function in one of your programs, the information goes to a spool before being sent to the printer. If you are printing several documents, they form a print queue. Spool queue control enables you to manage print jobs. The program also enables you to view properties for every print job (paper size and orientation, printing preferences and so on). This can be done either before printing (to help save unnecessary printed material) or afterwards.
What do you want to do?
Use the Right-click menu to Print, Release, Hold, Cancel, Archive or Fax a print job.
To select a spooler:
Select the Spool queue control option from the SPOOL UTILITIES MENU.
The Spool Control form is displayed.
Type in the spooler name if you know it or use the Ellipsis button to search for a spooler from a list of all available spoolers.
The Select Spooler form is displayed.
Select the spooler you require and double-click or click OK.
Note: If you take this option from the Utilities menu, you will see only the spooler that is associated with your login.
If the locations match correctly, the Documents grid on the Spool Control form is populated with a list of spool documents and the total number of documents is shown in the bottom right-hand corner of the form.
To monitor a list of spool documents:
From the Autoline master menu, select the System utilities option.
The SYSTEM UTILITIES MENU is displayed.
Select the Spool utilities option.
The SPOOL UTILITIES MENU is displayed.
Select the Spool queue control option.
The Spool Control form is displayed.
This form is displayed when you select the Spool queue control option on the SPOOL UTILITIES MENU. It enables you to monitor the list of spool documents for any spooler.
Menu Bar and Toolbar:
Menu bar Toolbar Action File > Exit Returns you to the SPOOL UTILITIES menu. Tools > Reset filter Resets filters, removing all unprocessed actions. Tools > Refresh Refreshes the print queue list, taking into account any changes made to it since it was last displayed. Tools > Process Implements an action on a spool document selected from the right-click pop-up menu. Until an action is selected, Process is unavailable. Tools > Retrieve Archive Retrieves archived items for your chosen year and month. Tools > Spool Control Enables you to start, stop or kill the spooler. Note: For a user to be able to start, stop or kill the spooler, there must be a tick in the Access column in the grid on the Display User Access Tab of the User Details form (with that User ID selected) next to a location listed as an Available location for that spooler on the Printer Details form.

Spooler: Spooler whose documents you want to display, selectable with an Ellipsis button.
Documents:
Note: You can click a column heading to sort the documents list on that field. Click again to reverse the direction of the sort. You can sort and filter by right-clicking a column heading and selecting Sort Ascending/Descending or Filter. Setting and resetting filters removes all unprocessed actions.
User: User ID.
Date: Date of the print process.
Time: Time of the print process.
Status: What is happening with the print process, for example Awaiting print, Held, Cancelled.
Copies: Number of copies.
Size: Spool document size in kilobytes.
Mod: Module from which the document originates, which you can modify.
Co: Company from which the document originates, which you can modify.
Description: Description of the print process, which you can modify.
Action: Any action taken from the Action option on the right-click pop-up menu is displayed in this column (for example, if you released a print from the spooler the message Release-to-spool is displayed). To implement the action, select Tools > Process from the menu bar or click the
Process button.
If you right-click any item in the Documents list, a pop-up menu is displayed with the following options:
Note: Options listed depend on the type of spooler you are viewing.
View: Displays a form enabling you to view the spooled print.
Tip: There is a search facility to allow the location of specific text, without having to look through the whole report. You can type in the text and press TAB.
Action > Print: Prints directly to the printer attached to the spooler. A form is displayed, enabling you to choose to print all, or a range of pages.
Action > Release: Releases the print job to the spooler, up to a maximum of nine copies.
Action > Hold: Holds the print job for processing at a later time or date.
Action > Cancel: Terminates the print job.
Action > Archive: Saves the print job to an archive file for later retrieval.
Note: To implement any of the Action options, you must select Tools > Process from the menu bar or click the
Process button.
Annotate: Enables you to view or amend the Report Title, Module Identifier and Source Company fields.
Fax: This option is available only if there is a fax server attached to the system. It enables you to fax the document to another fax recipient.
This form is displayed when you click the Ellipsis button on the Spool Control form. It enables you to select the spooler whose documents you want to list and control.
Spooler:
List of available spoolers. Select the one you want and double-click it or click OK to continue. Click Cancel to return to the Spool Control form.
To view spooled print:
On the Spool Control form select the spool document you want to view and right-click.
The right-click pop-up menu is displayed.
Select View.
The spool document is displayed in the View Document form.
This form is displayed when you select View from the pop-up menu displayed when you right-click an item in the Documents list on the Spool Control form. It enables you to view the spooled print.
Menu Bar and Toolbar:
Menu bar Toolbar Action File > Exit Returns you to the Spool Control form. View > Previous Page Displays the previous page of the document. View > Next Page ![]()
Displays the next page of the document. Tools > Find Enables you to search the displayed document for the text of your choice. Tools > Find Next — Searches for the next occurrence of the last text you located with a Find command. Tools > Find Previous — Searches for the previous occurrence of the last text you located with a Find command. Help > Help Displays this help topic in a web browser.
Note: For a user to be able to start, stop or kill the spooler, there must be a tick in the Access column in the grid on the Display User Access Tab of the User Details form (with that User ID selected) next to a location listed as an Available location for that spooler on the Printer Details form. If there is a location mismatch, the following warning message is displayed:
You do not have access permissions for this spooler
To start, stop or kill the spooler:
On the Spool Control form, with a spooler selected, select Tools > Spool control or click the Control button.
The Spool Control [Details] form is displayed.
This form is displayed when you select Tools > Spool Control on the Spool Control form or click the Control button. It enables you to start, stop or kill the spooler.
Details:
Task is: Shows whether the spooler is active or not active.
Last message was: Shows the last message. For example, if the spooler was stopped, Task is would be Not active, and Last message was would be Terminated.
Print device is: Print device address.
Banner: The banner (heading) on the top of the print.
Control:
Start spool: Starts the spooler.
Stop spool: Stops the spooler.
Kill spool: Kills the spooler.
To retrieve archived spool documents:
On the Spool Control form, with a spooler selected, select Tools > Retrieve Archive or click the Archive button.
The Choose Archive form is displayed.
Click your chosen year in the Select Year box.
The Select month box is displayed.
Click your chosen month in the Select month box.
The OK button becomes available.
Click OK.
The archived print is retrieved.
This form is displayed when you select Tools > Retrieve Archive on the Spool Control form or click the Archive button. It enables you to retrieve archived spool documents for your chosen month and year.
Select Year:
List of years available for you to select from.
Select month:
List of months available for you to select from.
You can edit the Spool Queue Descriptions (SU.queue) file record (fields are title, module and company) or click Delete to remove the record. This file gives the actual spooled document more meaningful information for the user by linking its ID with source module, source company, report title, spool number and user ID. This option is available only if the SPOOL file exists. When a report is run the three fields Report Title, Module Identifier and Source Company are automatically completed by the system.
To amend a spool document's Module, Company or Description:
On the Spool Control form select the spool document you want to view and right-click.
The right-click pop-up menu is displayed.
Select Annotate.
The Annotate form is displayed.
This form is displayed when you select Annotate from the pop-up menu displayed when you right-click an item in the Documents list on the Spool Control form. It enables you to amend the Module or Company from which the document originates, or change its Description.
Report title: Description for the document, which you can amend.
Module identifier: Module from which the document originates, which you can amend.
Source company: Company from which the document originates, which you can amend.
Buttons:
Save: Returns you to the Spool Control form, saving any changes you made to the selected spool document.
Tip: To see the changes you have made, select Tools > Refresh on the menu bar of the Spool Control form, or click the
Refresh button.
Cancel: Returns you to the Spool Control form, abandoning any changes you made to the selected spool document.
Delete: Removes the Spool Queue Descriptions (SU.queue) file record.
