Shifts

The system allows you to set up shifts for each Resource, the shifts can be set up and used for any particular day or week or month of the year. Shifts must be created to allow you to book work in to Workshop loading against the resources.

Shifts Form

The Shifts form is displayed when you select the Shifts option from the WORKSHOP LOADING Menu. From this form you can create, amend or delete shift records.

Shifts details

Order: Displays the order of the records.

Note: By default all records are sequenced in alphabetical order.

Code: The shift identification code used in the range A-Z or 0-9.

Description: A description of the shift, a 29 character alphanumeric field.

Shortname: A 5 character alphanumeric field.

Push Buttons

Exit: Returns you to the WORKSHOP LOADING Menu.

Help: Displays this Help file in the default Web browser.

Create: Allows you to create a new shift record.

Amend: Allows you to amend a shift record.

Delete: Allows you to delete a shift record.

Sequence: Allows you to determine the sequence in which shift records are displayed.

Creating a Shift Record

If required, you can create a shift record.

To create a shift record:

  1. From the WORKSHOP LOADING Menu, select the Shifts option.

    The Shifts form is displayed.

  2. Click the Create button.

    The Create form is displayed.

  3. Enter the Code, the Description, the Shortname, select the Colour from the drop down menu and select Yes or No from the Span midnight field.

  4. Click the OK button to confirm the shift and create the record.

  5. Once you have created the shift you will need to go to the Workshop Calendar and confirm the shift.

  6. For the shift to become active in Workshop loading you will need to assign the resources to the shift in the Resource Availability calendar for each individual resource.

Create Form

The Create form is displayed when you click the Create button on the Shifts form. From this form you can create a new shift record completing the data fields and editing the Shift grid.

Note: A single click in a sector on the grid will toggle the colour of that sector between Red (indicating Dormant), Green (indicating Active) and Orange, (indicating Lunch). Right-click in the sector that will mark the start of the range and select Active from here... or Dormant from here... or Lunch from here... as appropriate, then right-click in the sector that will mark the end or the range and select...to here. This will toggle all of the sectors between the start and end sectors.

Field Descriptions

Code: Enter an appropriate code in the range A-Z or 0-9.

Description: Enter the description of the shift, a 29 character alphanumeric field.

Shortname: Enter the shortname, a 5 character alphanumeric field.

Colour: Select the required colour from the drop down menu.

Span midnight: Select Yes or No from the drop down menu.

Note: Yes will be used in cases where the shift is to start before, but finish after, midnight.

Push Buttons

OK: Saves the record.

Cancel: Cancels the operation and returns you to the Shifts form.

Amending a Shift Record

If required, you can amend a shift record.

To amend a shift record:

  1. From the WORKSHOP LOADING Menu, select the Shifts option.
  2. The Shifts form is displayed.

  3. Position the cursor over the record that you want to amend, and click the Amend button.
  4. Tip: Alternatively, double-left click the record to select it.

    The Amend form is displayed.

  5. Amend the details as required.

  6. When you have completed your amendments, click the OK button to confirm the changes you have made.

Amend Form

The Amend form is displayed when you click the Amend button on the Shift form. From this form you can amend shift records.

    Note: Yes will be used in cases where the shift is to start before, but finish after, midnight. Such shifts must also commence on or after 12 noon and finish before 12 noon the following day.

Deleting a Shift Record

If required, you can delete a shift record.

To delete a shift record:

  1. From the WORKSHOP LOADING Menu, select the Shifts option.

    The Shifts form is displayed.

  2. Position the cursor over the record that you want to delete, and click the Delete button.

    Tip: Alternatively, double-left click the record to select it.

    The Delete form is displayed.

  3. Click the OK button.

    The record is deleted, you are returned to the Shifts form.

Delete Form

The Delete form is displayed when you click the Delete button on the Shift form. From this form you can delete shift records.

Note: None of the fields are editable.

Creating a 24hr Shift Record

To create a 24hr shift record:

  1. Enter an appropriate code in the range A-Z or 0-9.

  2. Enter the description of the shift, a 29 character alpha-numeric field.

  3. Enter the shortname, a 5 character alphanumeric field.

  4. Select the required colour from the drop down menu.

  5. Select Yes from the drop down menu to Span midnight.

  6. Right click in the AM/PM row on the grid to set the starting point for the shift , selecting Red (indicating Dormant), Green (indicating Active) and Orange, (indicating Lunch).

  7. Then Right-click in the AM/PM row that will mark the end of the range and ...to here. This will toggle all of the sectors between the start and end sectors.

  8. Click the OK button to confirm the shift and create the record.

    Note: You must set the PM grid first to create a shift that will span midnight.

Set Shift Time to Active

To set a shift active time:

  1. Right clicking the required shift active start time displays a list of available options

  2. Clicking the Active from here sets the start of Active time for the shift.

  3. Right clicking the required shift active end time displays a list of available options

  4. Clicking the To here option sets the end of active time for the shift.

Set Shift Time to Dormant

To set a shift lunch time:

  1. Right clicking the required shift dormant start time displays a list of available options

  2. Clicking the Dormant from here sets the start of dormant time for the shift.

  3. Right clicking the required shift dormant end time displays a list of available options

  4. Clicking the To here option sets the end of dormant time for the shift.

Set Shift Time to Lunch

To set a shift lunch time:

  1. Right clicking the required shift lunch start time displays a list of available options

  2. Clicking the Lunch from here sets the start of lunch time for the shift.

  3. Right clicking the required shift lunch end time displays a list of available options

  4. Clicking the To here option sets the end of lunch time for the shift.
