Vehicle Stock Record form

The Vehicle No Stock Record form is displayed when you select the Vehicle-Stock button from the VEHICLES TAB or the VEHICLE NO from within Marketing.

Tip: If you wish to amend the data in this form ensure that you are in Edit mode before clicking the Vehicle-Stock button.

The Vehicle No Stock Record form has five tabs available, Purchase, Sale, Costs 1, Costs 2 and General.

Purchase tab

Dates:

Factory build date: Date the vehicle was built by the manufacturer.

Factory release date: Date the vehicle was released by the manufacturer.

Factory order ref: Factory order reference number.

Consignment date: Consignment date of the vehicle.

Original adopt. date: Date the vehicle was first adopted by the original dealer.

Adoption(dealer)date: Date the vehicle was adopted by the present dealer.

Purchase order date: Purchase order date of the vehicle.

Suppl. delivery date: Date the vehicle was supplied by the manufacturer.

Est. deliv to dealer: Estimated delivery date to the dealer by the manufacturer.

Est. date cust deliv: Estimated date of delivery to the customer.

Previous owner:

Name: Name of the previous owner of the vehicle.

Address: Address of the previous owner of the vehicle.

Postcode: Postcode of the previous owner of the vehicle.

Commission ref no: Commission reference number.

Buying location: Branch / location where the vehicle was purchased.

Purchase order no: Enter the purchase order reference number.

Purchase order type: Enter the purchase order type.

Tip: Select the drop down menu, adjacent to the Purchase order type field, in order to view / select from all the available types of Purchase order.

Purchase price: Enter the purchase price of the vehicle.

Vat qualifying flag: Set this check box to a tick if the previous owner was VAT registered.

Purchase invoice no: Enter the purchase invoice number.

Suppliers reference: Enter the suppliers reference number.

Buyback: Details of any buyback arrangement you have with the customer for the vehicle.

Supplier:

PL account: Purchase Ledger account number of the supplier.

Delivery note: Delivery note number.

VAT regno: VAT registration number of the supplier.

Name: Name of the supplier.

Address: Address of the supplier.

Postcode: Postcode of the supplier.

Sale Tab

Note: The information displayed on this tab would normally be generated from details entered via the Showroom module.

Customer order no: Customer order number (if any).

Customer order date: Customer order date.

Date delivered to customer: Date that the vehicle was delivered to the customer.

Last sales invoice date: Last sales invoice date.

Last sales invoice no: Last sales invoice number.

Last credit note no.: Last credit note number.

Sales type: Enter the single letter describing the type of sale. Examples will be R for a retail deal, F for a fleet deal.

Selling Location: Location of the premises where the vehicle was sold.

Sales execs: Enter the Sales executives.

Invoiced to SL acct: Account numbers of any Sales Ledger account.

Vat qualifying flag: This check box is set to a tick if the customer is VAT registered.

Customer deposit amount:

There are 5 occurences of this field, which are updated automatically from the Showroom module. Details of any deposits received are stored here. Vehicle deposits are received using the Take Deposits option in the Sales Ledger. They can be matched within Showroom against the relevant vehicle sale.

References:

There are 5 occurences of this field, which are updated automatically from the Showroom module. The references of any deposits received are stored here for easy identification. Vehicle deposits are received using the Take Deposits option in the Sales Ledger.

Amount due from finance:

There are 5 occurences of this field, which are updated automatically from the Showroom module. If any finance has been arranged during the sale of a vehicle, the final amount financed will be displayed here.

trade-in stock no:

There are 3 occurences of this field, which are updated automatically from the Showroom module. There may be up to three trade-in vehicles held against a vehicle stock record. This field displays the marketing vehicle record no. for each trade-in vehicle.

Costs1

Car tax cost price: Car tax cost price.

Car tax selling price: Car tax selling price.

HP settlement acc: Hire Purchase settlement account.

HP check code: Hire Purchase check code.

HP Co. (OS fin. px.): Name of the Hire Purchase Company where there is outstanding finance on a part-exchange vehicle.

HP ref (OS fin on px): HP Reference used where this is outstanding finance on a part-exchange vehicle.

Del. cost of sale: Cost of delivery.

Delivery discount: Discount on the delivery value.

Delivery selling pr.: Sales value of delivery.

Delivery VAT: Value of VAT on the delivery sales value.

Basic veh cost of sale: Basic vehicle cost of sale value. In 'edit' mode one of these two fields is unavailable for edit. This represents the original cost amount, as in certain instances the basic vehicle cost of sale can be depreciated. In this instance we need to know what the original purchase price was.

Basic veh discount: Discount value on the basic vehicle.

Basic veh sell price: Sales value for the basic vehicle..

Basic veh VAT: Value of VAT on the basic vehicle.

VATable cost: Enter the VATable cost.

VAT (margin,price,no): Vat margin. This displays either, 1=VAT on Margin or 2=VAT on price, and refers to the VATable cost field.

Variance posted: This field is updated from Nominal Ledger, Reconcile Vehicle Postings. Any variances posted as a result of cost differences within this routine will be displayed and accumulated here.

Price generation: This displays C - Current, P - Previous, N - Next prices.

Invoice currency code: Displays the invoice currency code.

Invoice currency rate: Displays the invoice currency rate of exchange.

Amount due from customer

Currently unused fields.

Bonuses / Commissions

These fields display the totals of the non recoverable costs \ bonuses by analysis code (1, 2 or 3) on the sale of the vehicle.

Vehicle Prep costs

These fields display the total of vehicle preparation costs by analysis code (1, 2 or 3) on the sale of the vehicle.

Factory options

Cost: Displays the total cost for factory options sold on the vehicle.

Discount: Displays the total discount value (if any) on factory options sold on the vehicle.

Selling price: Displays the total sales value of factory options sold on the vehicle.

Tax: Displays the total VAT value for factory options sold on the vehicle.

Trade-in over allowance

There are 3 occurences of this field. Up to 3 trade-in vehicles can be stored against a vehicle record. These fields display any over allowance for each of these trade-in vehicles.

Trade-in net purchase

There are 3 occurences of this field. Up to 3 trade-in vehicles can be stored against a vehicle record. These fields display the net purchase price for each of these trade-in vehicles.

Trade-in tax input

There are 3 occurences of this field. Up to 3 trade-in vehicles can be stored against a vehicle record. These fields display the Input VAT applicable to each of these trade-in vehicles.

NR Cost options: Total of all Non recoverable costs.

Late cost summary: Total of all costs received on the vehicle. A last cost is a cost received on the vehicle that was invoiced in a previous accounting period.

Dealer options

These fields display the Cost, Discount, Selling Price and Tax for dealer options sold against this vehicle record

General

Vehicle number: This displays the marketing vehicle record no. for this vehicle stock record.

Sequence (0=new): When using a marketing stock system, a history of the vehicle is stored from a financial point of view. Each time the vehicle is purchased, a new vehicle stock record is created. Therefore sequence 0 is when the vehicle was sold as New, 1 is the first repurchase and resale of the vehicle, 2 is the second repurchase and resale of the vehicle, and so on.

Batch number(Transport): Currently unused.

AC veh stock status: This displays the vehicle stock account status. The main function of the accounts status is to control the timing of the vehicles postings made to the nominal ledger. The accounts status codes that are available for use within new and used vehicle stock records are held in the file astat together with their descriptions. (See Miscellaneous Options /Vehicle Account Status Codes.

Allocation flag: Currently unused.

Dealer defined no.: Currently unused.

Stock location: Enter the stock location of the vehicle. A list of available locations can be viewed by clicking on the ellipse button [...].

Locator code: This is used by the sales executives to locate and find ordered and stock vehicles. It will be presented as completed and should not require amendment.

Logbook (Y/N/Dupl): Do you have the logbook?, Answer Y -yes, N -no or D -duplicate.

V55 received date: Enter the date that the V55 was received.

Mileage verification: Tick this field if the mileage has been verified.

No of previous owners: Enter the number of previous owners of this vehicle.

Service history: Do you have any service history?, Answer F -full, N -none or P -part.

Date resv. for cust.: This field is updated by the Showroom module if the system parameters are set to reserve a vehicle, and will display the date the vehicle was reserved for the customer.

Reserved by exec: This field is updated by the Showroom module if the system parameters are set to reserve a vehicle, and will display the sales executive who reserved the vehicle.

Time resv. for cust: This field is updated by the Showroom module if the system parameters are set to reserve a vehicle, and will display the time the vehicle was reserved for the customer.

Re-registered date: If the vehicle has been re-registered at any time, enter the date here.

Avail. for resale: Enter the date this vehicle is available for re-sale.

Stock check date: Enter the date on which the vehicle stock check was carried out.

Stock check userid: Enter the user id of the person carrying out the stock check on this vehicle.

Stock check ref: Enter any reference applicable to the stock check which may be of use for future information.

Autosell lot number: Currently unused.

Picture: If required, a picture can be attached to the vehicle record. The current file formats require either .bmp, .jpg or .wmf. Type the name of this picture file or click on the ellipse button [..] to locate the filename. (This functionality is also available within Franchise Data and Vehicle Stockbooks).

Show Picture: Tick if you want to view the picture currently attached to this vehicle record.

Previous vehicle location: This a read only field which is populated by the original location code when the location is amended.

UserID of location transfer: This is a read only field which is populated with the user ID of the person who has changed the location of the vehicle

Date of stock location transfer: This is a read only field which is populated with the date the vehicle location was changed.
