Maintaining the On-Hold List

You can process acknowledgements that have been placed on hold, in other words, use them to update VSB.

Note: To process acknowledgements in the On-hold list, using them to update VSB, you do not remove them from the list. Instead, you update VSB directly from the On-hold list.

The on-hold list can be displayed by selecting either the On-hold radio button or the On-hold option on the View menu. The on-hold list should be looked at daily. Acknowledgements in the on-hold list can be selected, viewed, processed, cleared or attached to a stock record. The acknowledgements in the on-hold list should be reviewed daily.

To maintain acknowledgements on hold:

Tip: If you do not yet have the Vehicle Order Acknowledgements form displayed, follow the checking for new order acknowledgements procedure. During that process you set the applicable VS company and dealership, and you load the required acknowledgement file(s).

  1. Select the form's On-hold radio button.

    The grid repopulates with those records that have been placed on hold for subsequent actioning.

    If, in contrast, Autoline finds no On-hold records, an Information dialog displays the following message:

    INFO: There are no held acknowledgements !!

  2. Ensure that any lines representing acknowledgement records that you want to use to update VSB are ticked, and click the Update button.

    Autoline updates Vehicle Stock Books (VSB) with acknowledgement records represented by ticked lines in the grid, the Progress bar indicating how much of the process has been completed as an approximate proportion of the whole. On completion, an Information dialog displays the following message:

    INFO: All selected records were successfully processed

    If exceptions are generated, the following message is displayed:

    WARNING: There were exceptions generated

    In that case you should review the exceptions list.

    When you close the message box, you are returned to the form with the grid containing lines representing unprocessed acknowledgements, as indicated by the Unprocessed radio button being automatically selected.

    Note: Any acknowledgement records represented by lines whose check columns were unticked when you clicked Update remain On-hold.
