Altering Return Label Quantities in Purchase Control

It may sometimes be necessary to change the quantity on an order line that contains a surcharge value. This could be either the purchase line of a new unit or the return line of an old one. The software checks any purchase order that is un-received then re-received in purchase control against the original line in surcharge return tracking.

Note: For reasons of audit-trail (in this transaction-based system) you need to un-receive the purchase order line then re-receive it with the changed values.

New Purchase Lines

If the quantity is increased then, on the Auto-created Surcharge Return Labels form, extra lines are displayed above the original entries. Details need to be added to the additional lines. The expiry date on the existing lines remains the same as that originally entered on their first receipt into stock.

If the quantity received into stock is reduced from the original quantity then any additional lines will be set to 'U' status in the surcharge return tracking file. These are deleted the next time the maintenance facility is entered, subject to a minimum one day delay. The lines to be reused are highlighted. You can amend the label numbers if required. Any lines with 'U' status waiting to be deleted from the surcharge return tracking file are not available for selection against old units being returned.

Old Unit Return Lines

If the quantity being returned is increased then you are prompted to add additional labels. The Select Surcharge Return Labels form shows both the original selected lines and the new additional labels with their entries displayed with a green background.

If you reduce the quantity from that originally selected for return, those labels reset for future use have their entries displayed with a grey background.
