Creating Claims

When you have produced a warranty invoice in Point-of-Sale (POS), you can compile a warranty claim using information extracted where possible, from the original invoice.

Note: You must create claims before the warranty retention time has been exceeded. You can check the retention time for fully invoiced service jobs within the POS, System maintenance, System parameters option.

There are two ways of creating a claim:

  1. One method is dependent on you knowing the WIP number.

  2. The other allows you to identify and create claims from WIPS with outstanding invoiced warranty work.

In both cases, the WIP must match the following criteria before it is considered for claim creation:

  • The WIP must be of the Volvo franchise (V).

  • There must be parts and/or labour lines invoiced using a payment code beginning with the letter W indicating warranty.

  • The labour and/or parts lines must not form part of an existing claim.

  • Since it is possible to create a number of warranty jobs from one WIP, the first task is to assign job numbers to identify which parts and labour items belong together. You can create a maximum of 9 jobs per claim. For each job, you must indicate a causal part and main operation.
