Extended Vehicle Details Form

The Extended Vehicle Details form is displayed when you click the More button on the Vehicle tab of the Point-of-Sale form. This is where detailed vehicle information can be referenced. It is also possible to amend existing details and update the CRM vehicle record if required. There are two groups, one with information brought through from the WIP/CRM vehicle, and the other with information brought through from the CRM vehicle record.

From WIP/CRM vehicle:

Note: Provided CRM customer/vehicle details have been loaded to the Wip before selecting the form, most of the following fields would normally be pre-filled from the CRM vehicle record. If appropriate the Sub Model field will be filled from the Franchise Data Variant record. However, for vehicles that do not exist within the CRM system, the ability exists to enter the data manually.

Registration: Registration number of the vehicle. By keying the registration number in this field, the system automatically searches the CRM vehicle database. If the vehicle is found, the details are defaulted into the form.

If the CRM vehicle record is currently referenced within the Vehicle Administration stock files and has not been invoiced/closed, it will NOT be possible to amend the details shown. The following warning message is displayed:

VSB controlled vehicle. Edit disabled!

Click the Update button to load the vehicle onto the WIP.

Note: Only vehicle details are loaded if the vehicle is found. Company and customer information must be loaded separately.

Franchise code: Franchise code of the vehicle. If a franchise is entered in the Default franchise (Parts/Lab) field in the Terminal Details, the letter is defaulted here if a CRM vehicle record is NOT attached to the WIP.

Tip: A list of valid franchise codes is available from the drop-down menu.

Sales model code: Up to 10-digit alpha numeric code for the specific model. These model codes are used in both the vehicle administration and CRM vehicle records, and are usually used as a parameter to modify the postings to the nominal ledger from vehicle administration.

Sub Model: If active, this field operates as a filter to the details presented if the Variant dropdown list is accessed. All codes that have been applied to the selected model and referenced within the sub model field of the variant record in the Franchise Data module are listed.

Note: The ability to access the Sub Model field is dependent on the existence of the Sub-Model codes data file within the Franchise Data module.

Variant: Up to 15-character alpha numeric code indicating the exact specification of the vehicle .It is possible to select the code to be used from the list available by clicking the Drop-down symbol next to the field. Only valid codes that appear in the list may be entered to the form.

MS company no: Two-letter code identifying the name of the company from the Manufacturer Systems (MS) module that applies to the vehicle, for example, RE for Renault

Tip: A list of valid MS company numbers is available from the drop-down menu.

Service model group: Model group code of the vehicle

Tip: Click the Ellipsis button [...] to search the Manufacturer Systems model file for a service model group code.

Vehicle Description: Make/model of the vehicle

Service text: This allows the default text from the service code file to be adjusted and is used to update the CRM service history when the WIP is invoiced.

Chassis number: Vehicle chassis number

Engine number: Vehicle engine number

Odometer (Mile/KM/HR): Current odometer reading for the vehicle

Note: The label in brackets following the Odometer text will vary between one of the three possibilities listed according to the setting of the Display Mileage As field within the CRM vehicle record. If no vehicle record is loaded to the Point of Sale form this bracketed text will not appear.

Branch: If the User Details Location matches the value of the Sales Branch location held in the Branch Specific vehicle default form, then the Sales Branch and the Aftersales Branch values are defaulted into the Vehicle record created, and the Aftersales Branch code is defaulted into the Extended Vehicle Details form in POS.

Tip: The Branch can be amended by clicking the drop-down and selecting from the list offered.

From CRM vehicle:

Account no: The account code in the Sales Ledger that is used as a default to the Point of Sale form when the CRM vehicle is loaded.

Colour: Colour of the vehicle

Date registered: Date the vehicle was registered

Last service date: Date the vehicle was last serviced

Last MOT date: Date the vehicle was last MOTd

Model year: Model year of the vehicle

PUSH BUTTONS:

Close: Closes the form. If amendments have been made and the Update button has not been selected previously, one of the following warning messages is displayed:

WIP details have changed. Lose changes?

CRM details have changed. Lose changes?

CRM/WIP details have changed. Lose changes ?

Continue or Cancel push buttons are available.

Warning:If Continue is selected the amendments made to existing CRM/WIP details will be lost.

Update: Update and save vehicle details within WIP or CRM records as necessary. One of the following messages is displayed:

Update vehicle information to WIP record?.

Update vehicle information to CRM record?

Update vehicle information to CRM/WIP record?

The following options are available:

Yes: Updates and saves the amended information to the WIP, CRM or both as appropriate.

No: Discards the changes made and returns you to the Extended Vehicle Details Form.

Help: Displays help on the current application using the default browser.

New vehicle: This button is enabled if the vehicle does not exist on the CRM database. Click this button to create a new vehicle record.

Note: Depending on the set-up of your system, there may be an additional selection window at this stage listing the available Franchise Data (DD) companies. Select the item in the list for the company that contains set-up details of available models for the vehicle franchise.
