Recalling and Amending Enquiry Records

Recalling an enquiry record does not involve C2, it merely accesses the information stored in Autoline. C2 becomes involved only when you change options that are the responsibility of the manufacturer, for example factory options.

Note: C2 is concerned primarily with factory options.

If a retail offer has previously been created in Showroom and validated in C2, it will be flagged as validated and an expiry date set.

Note: An offer is only valid for the day it is downloaded from C2 otherwise it will expire the next day.

Each time an enquiry/quote/order etc is re-called, two checks are made. These are to see if it has been validated against C2 and to ensure the C2 offer expiry date is still valid. This information is displayed in the Enquiry Search Results form, which shows a red X in the C2 Valid column if the record needs validating or the offer has expired. Valid records have a green tick in the C2 Valid column.

Enquiry Search Results form

The Enquiry Search Results form contains some grid columns of particular significance to C2:

C2 Expiry: Retail offer expiry date if the vehicle configuration has previously been downloaded from C2. If the offer has expired, C2 is invoked automatically when the quote is reloaded and you must configure and download a new retail offer.

Note: An offer is only valid for the day it is downloaded from C2 otherwise it will expire the next day.

C2 Valid: Indicates whether the record has been validated against C2. This is required to ensure the vehicle can be built, and may occur in instances where the link to C2 was not possible or lost partway through. (This flag is held against the quote within the C2 configuration details in Manufacturer Systems). If it has not been validated against C2, the next time it is recalled, an attempt to connect to C2 is made automatically. It can have the following values:

Note:If the columns are blank i.e. the C2 expiry date is / / and the C2 Valid flag is blank, the quote has never been validated by C2.

C2 Stat: Indicates the C2 offer status. There are no statuses associated with retail offers. All have a status of RET and a configuration ID of RET000000000001 to identify it.

Amending an Enquiry

If you change the factory options of an enquiry record created using C2, Autoline behaves differently depending on whether the connection to C2 is available or not.

Scenarios can exist when recalling and amending a retail offer, where the vehicle configuration on Autoline and C2 are different. For example if changes are subsequently made on C2. Each time a retail offer is downloaded a comparison will be made with any changes highlighted for the user. As C2 is deemed as the source of data, any changes from C2 must be accepted (this includes prices changes on C2).

A comparison will be made, if the vehicle configuration has changed, these are highlighted for the user on the Options Compare form, listing the new and previous specifications side-by-side. This will highlight where factory options have been removed, added or price changed.

To amend an enquiry:

When recalling a quotation, available actions depend on the status of the enquiry. The example here is a recalled enquiry at O (order) status:

  1. From the master menu select the Showroom CRM module and the appropriate Company.

    The Showroom Main menu is displayed.

  2. Select the Quotations option.

    The Showroom Customer Enquiries form is displayed.

  3. Select the Recall Enquiry option.

    The Find Customer Enquiries form is displayed.

  4. Select status O ordered from the drop-down button Drop-down adjacent to the ...that are status radio button and click Next Next.gif.

    The Enquiry Search Results form is displayed, listing vehicles at status O.

  5. Select a quotation line and click Next Next.gif.

    The Recalling A Vehicle Order form is displayed.

  6. Select the Change the order radio button and click Next Next.gif.

    One of two things happens:

    1. If the enquiry/order has already been validated by C2: The Enquiry Builder (Cash Estimate/Order/Invoice) form is displayed. When changes are complete, the original enquiry/quote/order record is stored at X status and the amended record must be stored at least at enquiry status.

      Tip: If C2 is unavailable, you can still make changes using Autoline Showroom. However this will invalidate it. The record must be re-validated by CESAR when it becomes available. In contrast, changing options maintained at the dealer, such as warranty, dealer-fitted options, bonuses and insurance, do not affect the validity of the C2 offer.

    2. If C2 has not yet validated the enquiry/order, Autoline's C2 browser connects you to the C2 internet site and, when you have changed the order details, it downloads the retail offer back to Showroom, which displays the Enquiry Builder (Specification confirmation) form.

Invalidating the retail offer

Several things can occur to invalidate the retail offer:

Confirming a retail offer

Before a retail offer can be accepted into VSB the quotation must have reached 'C' confirmed status. In order to reach confirmed status in showroom it should be validated against C2.

If user attempts to confirm an order that hasn't been validated against C2 a message will be displayed.
