Audit Details Form

The Audit Details form is displayed when the Enter Audit Details option is selected from the ASSET REGISTER menu. The Selection Criteria form will then be displayed, this form must be completed, and then the Process Asset Audit button must be clicked, to view the next screen, which is the Audit Details form.

Once you have updated and confirmed the Asset Audit Details page of the first Asset Record, the system responds by displaying the corresponding page of the next Asset Record. Repeat the steps for the first Record and the system will then show the Asset Audit Details page of the third Asset Record, and so on until there are no more assets to update or the Quit button is selected.

Topic Summary

Use the Enter audit details option to update the Asset Register with the results of a physical asset audit. Audit information is held in the Asset Audit Details page of each Asset Record, in the Auditor, Audit Date and Condition Code fields. These three fields may be viewed at any stage with the Add or modify assets option, but their contents may be amended only with the Enter audit details option.

On selecting this option the system displays the Audit Selection Criteria screen. This enables you to determine the range of Asset Records for auditing and the starting Record within that range at which the auditing will begin.

The system presents for updating the Asset Audit Details page of each specified Record on the Register in alphabetic sequence of Asset Class and numeric sequence of Item Number. When the final Record has been updated, the operation is complete and you are returned to the Asset Register Menu.

The Condition code data field records the current state of the asset. Only two character, alphanumeric Codes that correspond to those set up with the Asset conditions option on the AR System Maintenance Menu may be input to this field. When running the Enter audit details option, you may display a window of valid Condition Codes by using the button at the end of the Condition Code field.
