Accessed by way of the Contract Review form followed by selection of
either Excess and Under Rates from the View Menu or the
icon from the
Toolbar. This presents the Excess and Under Rates form
which displays the current excess and under mileage rates applicable to the
selected contract.
Default excess/under mileage values are set at a global level (within Miscellaneous options / Product Management / Excess & Under Mileage) or at a customer override level (within CRM / Record Maintenance / Companies Tab / Fleet Details). The displayed figure is either a "calculated" value or a pence-per-mile value set at a relief vehicle category group rate. This value may also be overridden within the Review Excess and Under Rates form within the original quotation.
This form is split into four parts that are as follows:
In addition to displaying the form name the Title Bar provides a number of other useful identification criteria and buttons.

The Excess and Under Review Dialogue Box contains several data fields and a number of Grids for displaying excess and under rates information associated with the selected contract.
The registration number of the vehicle.
The full vehicle variant description.
The appropriate rate description i.e. Excess.
This field contains one of two values:
- R Rate. Denotes a fixed pence per mile/kilometre value.
- F Factor. Denotes the value is calculated as a percentage of budget.
The percentage of the excess distance that is set-up as free prior to calculating excess distance invoicing.
Displays the base loading mileage point for the calculated method. This is the first value contained within the Excess Rate Grid immediately below. It is held separately within this field for reporting purposes.
The fields contained within the Excess Rate Grid are as follows:
- Distance
The first mileage-break (i.e. the number of miles above the contracted mileage to which a rate is to be applied) is displayed in the first row of this column. The corresponding excess mileage rate is displayed in the Rate cell immediately to the right of this field.
The second mileage-break is displayed in the second row of this column (etc). The corresponding excess mileage rate is displayed in the Rate cell immediately to the right of this field.
- Rate
The excess mileage rate corresponding to the Distance cell immediately to the left of this field.
If, in the Excess & Under Mileage set-up form, the 'Calc' column is not ticked then rates apply as per grid for actual Pence Per Mile (PPM) values. If 'Calc' is ticked, however, the base excess rate is determined by depreciation and maintenance and the additional rates are then used as percentage loading factors."
These figures are used to calculate excess mileage money due to the lessor from the lessee.
