Delivery Process

Overview

This process is used to set up the delivery details for the vehicle order (and possibly the collection details of the returning vehicle).

Step-by-step process

To access the delivery process option:

  1. From the Master Menu, select the Vehicle Purchasing option and Company required.

    The Vehicle Purchasing menu is displayed.

  2. Select the Purchase Management option.

    The Purchase Management form is displayed.

  3. Select the Open icon.

    The Contract Search form is displayed.

  4. Enter the appropriate information to locate the required agreement.

  5. Select the Order Tab.

  6. Select the (Create Delivery) icon

    This loads a blank Delivery movement record for the current order and allows the recording of details for that movement.

  7. The Movement reference is the user id, date and time but this can be amended if required.

  8. The delivery record is split into three tabs. Select the General Tab to record details of the agent to be used e.g. a supplier, agent or logistic company.

  9. Select the Delivery Details Tab to enter details of where the vehicle is to be delivered from and delivered to. The Delivery From and Delivery To fields are populated by the agent details and Company details from the Order respectively. However these can be overtyped if required.

  10. Select the Other Tab to record details of any specific drivers allocated to perform the movement and any special instructions for the delivery.

  11. The created record is saved to the vehicle movements control module.

  12. You are then prompted to Do you also want to create a collection?. When creating a delivery movement the user is asked if they wish to create a collection movement as well for any returned vehicles.

  13. Selecting No results in a return to the main Order form. If Yes is selected then the Associated Movement sub-form is displayed. The cursor is located in the Registration Number field. The registration number of the returning vehicle may be directly keyed into this field or, selection of the [...] button immediately to the right of this field presents the Fleet Global Search form that enables a vehicle to be found by entering search selection criteria. Note that if a vehicle registration number is entered for a vehicle that is not a current record within the marketing vehicle database then a temporary record is created. Both the registration number and the full vehicle variant description are returned to the Associated Movement form. Selection of the Cancel command button at this stage results in a return to the Vehicle Movements form. Selection of the Create Movement command button results in the display of the Collection Record form.

  14. The Collection Record form is similar to the Delivery record layout. If the vehicle is a non-fleet item then the customer will not be linked and has to be selected.

  15. On saving the collection movement the system returns to the Order form for the vehicle that held the original delivery instructions.

  16. The option to print delivery and collection forms is held within the Movements control module.
