Creating Account Codes

When valid Cost centres and Expense codes have been created, they must be combined to create the working Account codes within the Nominal Ledger.

On initial set-up, the account codes can be created via options within the NL System Maintenance once the Account inclusion/exclusion rules have been defined, using the Create valid accounts option. For further information on these two facilities refer to the System Maintenance topic in this on-line help.

Codes can be created manually, if required, via the Create/Delete account codes option which is found in the Miscellaneous options menu.

To create/delete account codes:

  1. From the Autoline Master Menu select the Nominal Ledger option and the company you require.

  2. Select Miscellaneous options.

    The NL Miscellaneous Options menu is displayed.

  3. Select the Create/delete account codes option.

    The Accounts Headers form is displayed.

To create an Account code simply click the Create button, then enter a valid existing Cost centre and a valid existing Expense code and tab.

Autoline will then display the Account Code details form with a header area showing the new Account code and the names of the Cost centre and the Expense code which comprise it. Autoline will allow the creation of the code on the entry of the valid Cost centre and Expense code.[by clicking the Create button again] The following additional fields are shown:

Created by User/system: This field displays the letter S or U to indicate whether the new Account code was created by the system or by a user.

Created user ID: If the field above displays a U, this field displays the UserID of you who created the account.

Date created:

This field displays the system date on which the account was created.

Closed userid: This displays the user who closed the account.

Date closed: This displays the system date on which the account was closed.

Date last posting: This field displays the date on which the last posting to the account was made.

Number of items: This field displays the number of items in the last posting to the account. The Account balances are summarized within the following headers:

The totals are displayed in the base currency of the NL and in the currency (foreign currency) of the account.

BUTTONS

Delete: This option allows the deletion, after confirmation, of valid account codes for which there are no transactions. If transactions do exist and the delete button is clicked, the user will be allowed to close but not delete, the account.

You are now presented with the button options to Cancel or Delete the record.

Create: As discussed previously, this button allows the user to create an account code.

Exit: The user will be returned to the NL Miscellaneous menu.

Help: Displays online help in the default browser.

There is also the ability to run an Ad-hoc report down the NL Account Header file, when the Ad-Hoc button is used.
