The archive payroll record is created at the payroll year end if the Payroll type parameter on the End of Year TAB called Archive at year end is ticked. This option is used to amend the payroll record at a particular tax year end. If the change control audit log facility is used changes to the archive payroll records will be audited within the change control log.
Standard functionality exists that allows you to maintain records.
To access Archive payroll records
The Payroll Password form is displayed.
Enter your payroll password.
The PAYROLL menu is displayed.
Select the Miscellaneous options option.
The PR MISCELLANEOUS OPTIONS menu is displayed.
Select the Archive options option.
The ARCHIVE menu is displayed.
Select the Archive payroll record option.
The Archive payroll form is displayed.
The Archive payroll form is displayed when you select the Archive payroll record option from the ARCHIVE menu.
What do you want to do?
Employee number: The individual number allocated to each employee. The employee number together with the archive tax year are the unique fields for each archive payroll record and therefore every archive payroll record must have an employee number and tax year.
Tip :
Click the Ellipsis button to search for an employee number from the archive payroll records file by either a surname search or a word search. The search will only list those employees that you have the correct security within the employee record module to access the employee. This location security based on the location and grade fields on the employee record is optional and used throughout the payroll module.
If you attempt to access a payroll record for whom you do not have the correct employee record location security you will be advised with the message Permission to access payroll record denied.
Archive: The four digit starting tax year, for example, 2006 is the starting tax year for the PAYE 2006/2007 tax year.
Tip :
Click on the Drop down to select a previous archive year.
The payroll archive record is structured identical to the current tax year payroll record, for more information regarding he fields refer to the Add/modify payroll record help file.

Archive payroll records may only be amended by a priority 8 payroll user using the Miscellaneous options menu, Archive options menu option called Archive payroll records if the Payroll type parameter on the General - 1 TAB called Setup mode is ticked.
