File Usage Statistics

This program provides a list of all files within the CRM database and information about the size of the file when there should be a warning and the percentage of the file that is in use as far as each one is concerned. The end-of-day program will automatically include any files on a report which have exceeded their set warning level, but this program can be used to monitor the situation in between times. The file usage statistics option is purely for information - no amendments can be made in this option.

When the option is selected from the CRM system maintenance menu, the program will automatically list the files in grid format. The grid has nine headed columns:

GRID:

Heading Description
No List sequence number
Sh Two-character identifier for the file
Name The file name within the system
Desc The full file description
File Size The maximum number of records that can be saved to the file
In Use The number of records that are currently in the file
Warn The percentage reached when users are warned that the file requires extending
Index The percentage of the index file that is currently in use
Data The percentage of the data area of the file, that is in use

Note:As part of the timed operations process the files sizes are monitored and a report produced warning of the files which are filling up.

The file usage statistics grid will also highlight those file that are eighty percent full and those that are one hundred percent full. They are highlighted in different colours which are red for the files at 100% and yellow for those files which have reached 80% full.

PUSH BUTTONS:

Tip: When a file reaches the percentage fill as users use the file, they will be warned that the file is filling. At this point, the file should be extended; this can be done from the Timed operations process or, if necessary, by Autoline Software Support.

Colours

Description

Normal - No action is necessary.

Over % - The maximum number of recommended records has been exceeded.

Warning - The number of records is very close to the maximum recommended.

Co. 00 - This file is a global file. This type of file may be split into two colours.
